About the Role
The Logistics Coordinator will have a key role in helping the company to achieve our aggressive sales goals. You play a large role in supporting the revenue growth + scale the business, productivity and exceptional levels of customer satisfaction for the Company and are passionate about delivering and cultivating excellent customer service throughout the organization.
What You Will Do
Logistics Management:
- Manage all aspects of order fulfillment at the Singapore warehouses (external and internal) for all products and all shipment types (e.g.: spare parts, 3rd party materials, demo units, Harman events, marketing etc.):
- Release STO PO into SAP , request stock allocations from the SIOP team on the STO and maintain accurate PO delivery dates (STO PO dates hygiene)
- Be the customer catalyst in order monitoring to minimize risk of delay deliveries – execute STO PO escalation to the supply planning team on products with long lead time and do not meet customer’s expectations.
- Communicate regularly with the customers, Channels Sales and BD team on the issues and proactively provide timely updates.
- Coordinate transportation bookings with international freight forwarders and closely monitor the movement of goods throughout the inbound process to ensure smooth flow of goods from origin warehouses into Singapore to meet customer’s deliverables.
- Optimize the approved import routes/shipping lanes to minimize transportation costs to the Company and increase delivery timelines to meet Customer’s deliverables.
- Collaborate with Harman Custom Brokers to facilitate smooth customs clearance process on import shipments or shipments requires CARNET within APAC destinations (if required by the Business).
- Coordinate inbound and outbound shipments processing with 4PL/3PL and internal team > responsible for system posting into SAP (goods receipt, delivery note, goods issue, stock transfer/adjustment etc.) and release customer’s shipping instruction to 3PL.
- Prepare and manage all inbound and outbound related documentation for all order + shipment types originating from SG external and internal warehouses, for e.g.: commercial invoices, delivery note, packing lists, permit etc.
- Support month end activities, evaluate and identify any shipments that are at risk or potentially drop out in revenue and promptly raise red flag to Channels Sales Manager and RSO leadership. Identify gaps and opportunities to alleviate the shipment risks.
- Be the primary point of contact for internal stakeholders on shipping rates – liaise with Harman appointed 4PL to obtain freight quotes and secure competitive shipping rates.
- Responsible for other logistic related activities for APAC business and its customers, this includes repair, outbound and Advance Replacement Warranty, reverse logistics process, stock buy-back etc.
- Support any logistics management related activities as assigned by the Direct Manager.
Warehouse Management:
- Oversees daily warehouse activities by 3PL service provider, ensures all processes + workflows are followed and completed based on the approved and established Scope of Work.
- Ensures that the warehouse operates at peak efficiency to support any emergency requests or deliveries during the month end close for revenue recognition. Has country level inventory controls responsibility.
- Manages inventory accurately and performs regular audits or periodic cycle count on the inventory held in the Singapore warehouses (internal and external). Generates listing of items for inventories and ensure physical stock count ties to SAP system.
- Reconciles discrepancies in inventories, notifies Direct Manager of irregularities. Master Data Specialist for SG warehouses - responsible for material extension into SG SAP plants and perform regular master data maintenance or clean-up.
- Audit Maintains accurate and up-to-date records, databases and documentation, such as CI/PL, Delivery Notes, BOL/AWB, inventory movements documentation - all supporting these transactions must be properly accounted for and filed based on the Harman Document Retention Policy.
- Interacts and provides support with internal and external auditors who need the above documents.
- Conducts periodic review of warehouse operation SOPs (covering inbound, outbound, inventory control, documentation and system processes) to ensure alignment with actual operations and business requirements. Drives SOP standardization and continuous improvement initiatives.
Audit & Finance
- Maintains accurate and up-to-date records, databases and documentation, such as CI/PL, Delivery Notes, BOL/AWB, inventory movements documentation - all supporting these transactions must be properly accounted for and filed based on the Harman Document Retention Policy.
- Interacts and provides support with internal and external auditors who need the above documents.
- Handle billing activities related to logistics transactions and verify all supporting documents.
What You Need to Be Successful
- 3 years of working experience in Customer Service, Logistics, Supply Chain functions.
- Strong proficiency in Microsoft applications (especially Excel skills). SAP experience is required. CRM experience will be an advantage.
- Be result-oriented with great attention to details. Possesses strong written and verbal communication skills.
- A strong team player who enjoys working with diverse cultures.
- Ability to handle responsibilities under pressure and ability to thrive in a fast-paced and revenue driven customer service environment while maintaining a positive attitude.
Bonus Points if You Have
- Diploma & above in Business Management or related field
- Possess and exercise analytical skills within generally defined practices using a variety of sources to find solutions
- Possess strong knowledge in shipping procedures, especially air and ocean transportation (key freight terminology, incoterms, multimodal etc.)
- Resilient and positive, can-do attitude and self-starter. Sensitive to timing delays, able to foresee problems in advance and take necessary actions on time.
- Willingness to work overtime to meet deadlines, especially at month end.
