SUMMARY:
The Senior Logistics Specialist plays a critical administrative role in ensuring compliance across fleet, warehouse, and operational logistics functions. This position supports the operational team by maintaining compliance documentation, managing permitting processes, monitoring regulatory requirements, and ensuring accurate data tracking across key systems. The role is highly detail-oriented, supports pre-project mobilization needs, and serves as an internal compliance resource.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- 1. Facility and Lease Compliance
· Maintain active lease data for all office and warehouse locations in LeaseQuery and FMX (as applicable).
· Upload documentation for required inspections (e.g., fire, safety), preventative maintenance, and lease agreements.
· Track and coordinate lease renewals, terminations, and new lease documentation in LeaseQuery and FMX (as applicable).
· Ensure timely completion of facility compliance activities in accordance with local and state regulations.
- 2. Fleet Compliance and Administration
· Manage vehicle compliance data, including maintenance schedules, inspection reports, tag renewals, and insurance coverage.
· Assist with maintain logs to track mileage, service history, and driver inspection records.
· Assist in ensuring vehicles meet all DOT, state, and internal safety requirements.
· Support accident reporting processes in collaboration with accounting and insurance.
- 3. Contractor Licensing Support
· Assist in tracking and maintaining contractor licenses across all relevant states, counties, and municipalities.
· Coordinate renewals, required documentation, and submittals to maintain good standing in each jurisdiction.
· Maintain a centralized licensing calendar and alert system for expiration dates and upcoming deadlines.
· Work cross-functionally to ensure project teams have access to required licensing information as needed.
- 4. Documentation, Auditing & Reporting
· Maintain and update company logistics SOPs, compliance policies, and training acknowledgment logs.
· Assist with internal audits for warehouses, fleet, and logistics systems to ensure regulatory and internal compliance.
· Prepare summary reports for leadership related to compliance status, findings, and corrective actions.
· Support emergency preparedness documentation for CAT response events.
- 5. General Administrative Support
· Coordinate with Procurement and Operations to ensure minimum stock levels are documented and met.
· Assist in logistics planning and execution during CAT deployments and special projects.
· Provide cross-functional support for data entry, tracking, and compliance documentation across logistics systems.
· Perform other duties as assigned by leadership.
QUALIFICATIONS:
- Strong organizational skills with high attention to detail.
- Ability to manage multiple compliance timelines and documentation workflows.
- Familiarity with DOT, OSHA, and contractor licensing requirements preferred.
- Proficient in Microsoft Office (especially Excel) and database management tools.
- Excellent written and verbal communication skills across all organizational levels.
- Comfortable working both independently and as part of a cross-functional team.
EDUCATION and/or EXPERIENCE:
- Associate’s degree in business management, Supply Chain, or related field required. Bachelor's degree preferred.
- Minimum of 5 years of logistics, compliance, or supply chain experience.
- Construction, facilities, or restoration industry experience is a plus.
LANGUAGE SKILLS:
Ability to read and comprehend complex instructions, correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete and abstract variables in situations where only limited standardization exists.
