About the Position


The Legal Operations Specialist (the “Specialist”) will support the General Counsel and the Legal, Compliance and Board Governance team (“Team”) by managing the Team’s operations, systems, workflows and administrative processes. The Specialist will coordinate legal intake, contract review, and vendor management questions, maintain legal and compliance systems and records, support board governance, manage outside resources and help track regulatory filings and organizational obligations. This role offers broad exposure to the legal and compliance function of international nonprofit organizations.

The Specialist must exercise sound judgment, manage competing priorities, protect confidential information and work collaboratively with the General Counsel, the Team and personnel across the Internet Society and Internet Society Foundation (“Organizations”).

This position currently has no direct supervisory responsibilities. The Organizations may adjust the role’s responsibilities as operational needs evolve.

Essential Duties and Responsibilities

  • Manage the General Counsel’s and Team’s calendars, meetings, deadlines and recurring workflows across multiple time zones.
  • Support the Director of Governance with board and committee calendars and scheduling, meeting and travel logistics, materials, records, expense reporting and follow-up actions.
  • Serve as a board portal administrator and assist with board and committee content, user access, record retention, and trouble shooting.
  • Liaise with ISOC’s executive and administrative assistants regarding board meeting logistics.
  • Manage legal invoices, purchase requests and expense tracking, including coding, approvals, reconciliation and coordination with Finance and outside providers.
  • Administer legal intake by monitoring requests, gathering required information, assigning matters, tracking status, responding to business teams, and escalating urgent or sensitive issues.
  • Oversee legal review workflows, including the general legal inbox and Contract Management System, to support timely intake, review, approval, signature and record retention.
  • Administer legal and compliance systems, including user access, data quality, templates, matter records, reporting and the central compliance portal.
  • Support the Vendor Management Function by monitoring requests, reviewing workflows, and responding to general inquiries.
  • Support the Director of Compliance with set up and facilitation of the staff compliance e-learning program campaigns in the compliance portal
  • Coordinate Team communications, guidance, training materials and updates across the Organizations’ internal channels.
  • Support adoption of contract review policies and procedures through training, guidance, intake support and process documentation.
  • Coordinate insurance matters, including applications, renewals, certificates, claims support and requests from internal and external stakeholders.
  • Maintain state corporate, charitable solicitation and fundraising registrations, calendars and supporting records. Coordinate timely filings with the General Counsel, Finance, Development and outside providers.
  • Provide administrative support in global entity management portal; maintain accurate entity records
  • Provide virtual or online notarial services for eligible Organizations documents and maintain required notarial records.
  • Develop and maintain standard operating procedures, dashboards, calendars and metrics for Team workload, service levels, compliance obligations and process improvement.

Desired Qualifications

  • At least eight years of relevant legal operations, paralegal, compliance or executive administrative experience, including substantial experience in an in-house legal department. Nonprofit experience is required.
  • Demonstrated strategic thinking, cultural awareness, political sensitivity, accountability and commitment to teamwork in a global organization.
  • Strong knowledge of U.S. state corporate and charitable solicitation registrations, filing requirements and compliance calendars.
  • Excellent judgment, discretion and practical problem-solving skills, including the ability to identify risks and escalate issues appropriately.
  • Commitment to the Internet Society’s mission, values and objectives, including work that supports an open, globally connected, secure and trustworthy Internet.
  • Experience supporting a globally distributed workforce and coordinating work across multiple time zones and cultural contexts.
  • Excellent interpersonal skills and the ability to work effectively in a multicultural, multidisciplinary environment.
  • Excellent written and verbal communication skills, with the ability to translate complex legal and compliance processes into clear guidance for diverse audiences.
  • Legal operations or project management certification is preferred.

Compensation and benefits for this position will be paid in local currency and based on the country and geographic location’s local salary and benefits market data for the position. Exact pay will be based on factors including but not limited to relevant qualifications, experience, geographic location, education, business and organizational needs.
