This position is located in Plainsboro, New Jersey and follows all Novo Nordisk Inc. guidance for remote/in office dedicated time. EST time zone hours.
The Position
Will focus on legal systems, training, and knowledge management and play a pivotal role in ensuring the smooth functioning of legal operations within the legal organization. Responsible for management and administration of legal systems, providing training on legal tools and processes, and overseeing knowledge management to support the legal team's efficiency and effectiveness. Will drive initiatives to implement and/or improve legal system utilization and process optimization.
Relationships
Reports to Lead, Legal Operations and Projects. Will partner and collaborate with internal teams including Legal, Finance and Procurement to achieve operational objectives in support of legal strategy. Interacts with individuals in other NNI departments, global headquarters, and affiliate companies. Also interacts with external law firms, eDiscovery and software vendors, and business entities.
Essential Functions
Legal Systems Management
- Administer and maintain legal systems, including but not limited to contract management, e-billing, matter management, and document management systems
- Collaborate with IT and external resources to ensure the optimal performance and integration of legal systems
- Troubleshoot system issues and provide user support as needed
- Review and draft related policies, procedures, QRGs and reference materials
Training and User Support
- Develop and deliver training programs and materials for legal tools, systems, and processes to enhance end user proficiency and adoption
- Offer ongoing user support and guidance to address system-related inquiries and challenges
Knowledge Management
- Establish and maintain a comprehensive knowledge management framework for legal documents, templates, and best practices
- Implement strategies to capture, organize, and disseminate legal knowledge effectively across the legal team
Process Improvement
- Identify opportunities to streamline legal operations through system enhancements, automation, and process optimization
- Collaborate with stakeholders to implement improvements and drive operational efficiencies
Compliance and Data Security
- Ensure legal system compliance with company data privacy and internal security policies
- Monitor data integrity and implement measures to safeguard confidential legal information
- Handle highly confidential matters with discretion and judgment
Qualifications
- A Bachelor 's degree, (preferably in Technology, Business, Information Management or related field) required; relevant experience may be substituted for degree where appropriate
- A minimum of 8 years of experience in legal operations, legal technology or knowledge management within a legal setting required
- Proficiency in utilizing legal systems such as matter management, e-billing, and document management platforms
- Strong understanding of legal processes and workflows
- Excellent communication and training skills to effectively convey technical information to non-technical users
- Familiarity with data privacy regulations and information security best practices
- Ability to collaborate cross-functionally and drive process improvements
- Relevant certifications in legal operations, project management, or information technology a plus
- Pharmaceutical or other regulated industry experience preferred
- Ability to work autonomously with minimal guidance
- Comprehensive understanding of the business and day-to-day operations
- Effective time management skills. Ability to handle multiple projects simultaneously
- Strong analytical, research, and organizational skills required
- Strong verbal and written communication skills required
- Self-starter; flexible, customer-focused, and have a professional demeanor
- Must be proficient in Microsoft Office, Excel and Powerpoint
