Summary:

The Leave of Absence (LOA) Administrator is a key member of the benefits team, embedded within the corporate Human Resources business support group. This person oversees and administers all leave requests for our US and Canadian employees, including short-term and long-term disability, military, Family Medical Leave (FMLA), state-run/provincial leave programs, company-provided leave, unpaid time off, and leave sharing (PTO donation). This person also receives requests and administers the accommodations process under the Americans with Disabilities Act (ADA). The LOA Administrator is the organizational subject matter expert on external and internal leave programs and benefits and is the primary point of contact for employees.  

Responsibilities and Typical Activities:

Leave of Absence Administration 

  • Act as the primary point of contact for leave requests, communicating directly with and supporting employees and leaders throughout the leave process

  • Coordinate and administer all company, state, provincial, and federal leave programs

  • Counsel and guide employees regarding leaves of absence options

  • Receive and review leave requests and supporting documentation from medical providers

  • Determine leave eligibility through consistent, equitable, and compliant procedures

  • Track and send all required internal and external entity notices, forms, and letters

  • Coordinate return to work with employees and leaders, including determination of and administration of reasonable accommodations where applicable

  • Track continuous and intermittent leaves, both paid and unpaid, in accordance with internal policies and laws; record leaves in our HR system (Workday); and coordinate leave hours in time tracking system (Vantagepoint)

  • Coordinate with Payroll to ensure paychecks are accurate for employees on leave

  • Coordinate with benefits administrator on the benefit impacts of leaves; educate employees on these benefits impacts

  • Create and update leave of absence materials and guides for employees across states and provinces

  • Coordinate with Payroll to provide complete and accurate information for Canadian leaves

  • Maintain accurate, confidential, and timely electronic leave of absence files

  • Receive and review accommodation requests through the interactive ADA process; determine eligibility and communicate accommodation needs

Continuous Improvement and Compliance 

  • Coordinate with Benefits Specialist to update company intranet materials related to leaves and time off

  • Ensure compliance with related state, provincial, and federal policies and regulations

  • Monitor changes to federal, state, and provincial leave laws and coordinate with Compensation and Benefits Manager to implement necessary changes

  • As part of annual planning process, benchmark leave of absence programs within our industry to assess competitiveness

  • Develop and continuously improve internal leave of absence policies and programs

  • Support special projects and benefit-related initiatives as needed 

 

Minimum Qualifications: 

  • Three or more years of experience in leaves of absence administration

  • Bachelor’s degree (or equivalent years of related experience) in human resources, business administration, or related area

  • Experience administering leaves in multiple jurisdictions

  • Demonstrated strong knowledge of multi-state and federal leave of absence programs, including FMLA, state-run paid family and medical leave programs, and ADA

  • Strong computer skills and expertise with Microsoft Office, including strong Microsoft Excel skills (ex: pivot tables, v-lookups, etc.)

  • Exceptional organizational skills and attention to detail

  • Ability to manage multiple tasks simultaneously and meet deadlines

  • Strong problem-solving skills

  • Customer service orientation with exceptional interpersonal, oral, and written communication skills

  • Unwavering commitment to integrity and confidentiality

  • Flexible working style and willingness to occasionally modify personal schedule to help meet project deadlines

  • Ability to work collaboratively in a team-based environment

  • Legal authorization to work in the United States without the need for sponsorship, now or in the future 

 

Preferred Qualifications: 

  • Five or more years of experience in leave of absence administration

  • Experience administering benefits/leaves in Workday

  • Advanced Microsoft Excel skills 

This position is considered for a hybrid work arrangement. A hybrid work arrangement refers to splitting time worked between a Barr office and a home office. This position is based out of Barr's Minneapolis, Minnesota, office
