Job Description

Reporting to the Manager, Labour Relations, the Labour Relations Coordinator provides a full range of support activities to the members of the Labour Relations team.

Accountabilities:

  • Ensures the proper tracking of union business and subsequent invoicing of required funds to respective union
  • Calculate and reconcile union bill backs
  • Negotiates with the union treasurer concerning any past due accounts
  • Attends and provides minute-taking duties at monthly labour-management meetings and other meetings as required between all Hospital sites (approx. nine full-day meetings per month)
  • Must build and maintain positive working relationships with all union partners
  • Makes updates to collective agreements and ensures printing and distribution as required from time-to-time
  • Prepares correspondence to labour relations stakeholders i.e. unions, law firms, arbitrators to coordinate and confirm arbitration dates
  • Prepares bargaining proposals for the collective bargaining processes
  • Maintains a centralized repository of grievances that tracks all grievances and allows instantaneous data reporting. Activities includes; preparation of files; logging in database; and monthly updating, compilation and reporting on status
  • Ensures all labour relations data are up-to-date and capable of generating the most timely reports and information necessary to support labour relations functions
  • Attends and provides minute-taking duties at monthly labour-management meetings and other meetings as required between all Hospital sites (approx. three full-day meetings per month)
  • Writes various correspondence including Step II grievance responses
  • Maintains union contact lists, specialist portfolio lists
  • Prepares grievance files for external legal counsel
  • Coordinates all grievance settlements and compliance and ensures payments are made on time
  • Organizes meetings and maintains Labour Relations team calendars
  • Maintains and updates Labour Relations team’s labour law library by ensuring that subscription services are up to date and the most reliable data/information is available to the team
  • Orders equipment, supplies services and maintenance
  • Prepares and updates documents for costing accruals, compiles information to provide to Finance
  • Works closely with Arbitrators and the Ministry of Labour to file, coordinate and schedule relevant hearings

Qualifications

  • College diploma in human resources management
  • Advanced proficiency with Microsoft Office including Word, Excel, Outlook and PowerPoint
  • Knowledge of Meditech and MediHR an asset
  • Experience with SharePoint is an asset
  • Strong critical thinking skills
  • Knowledge of collective agreements and employment related legislation
  • Flexibility to meet the demands of a fast-paced environment
  • Strong organizational skills with emphasis on coordination of time and resources to manage multiple tasks and projects effectively and in a timely manner
  • Highly motivated, self-directed with demonstrated ability to work well as a member of a team and the ability to work independently
  • Strong communication skills; verbal and written
  • Certified Human Resources Professional will be considered an asset
  • Excellent attendance, punctuality and work record
  • Ability to travel between all Osler's sites and to external meetings

Additional Information

Hours: Currently days in a hybrid role that functions remotely but require essential, regular onsite weekly work (subject to change in accordance with operational requirements)
