Junior Office Manager

We are seeking a highly organized and proactive Junior Office Manager to serve as the first point of contact for our Atlanta office while also providing operational support across office management, culture, and internal programs. This role interfaces regularly with employees, vendors, and building management, and reports to the Office Manager, with a growth path toward an Office Manager position. This role requires exceptional communication skills, attention to detail, and the ability to multitask in a dynamic environment.
Key ResponsibilitiesOffice & Facilities Management
- Greet and welcome visitors, clients, and staff, maintaining a warm and professional reception experience.
- Maintain the overall office, ensuring common areas and workspaces remain clean, organized, and presentable.
- Assist with implementing office policies and procedures to support operational efficiency.
- Order office supplies and coordinate with vendors for office maintenance.
- Manage food and snack ordering for the office.
- Serve as the point of contact for building access and parking systems, coordinating with vendors to resolve issues as they arise.
- Coordinate office cleaning and stocking to keep the space fully maintained.
- Manage employee recognition and appreciation efforts, including ordering and tracking company swag and awards.
- Provide basic tech setup assistance (e.g., workstations, equipment) and coordinate with IT on more complex issues.
- Identify opportunities to improve office operations and employee experience, and take initiative to implement them.
Inventory & Supplies
- Maintain inventory records and ensure adequate stock of office supplies and equipment.
- Conduct regular inventory checks and flag discrepancies.
- Suggest cost-saving ideas for supply management.
Communication & Data Management
- Handle internal and external communications, including phone calls, emails, and drafting professional correspondence.
- Help organize and maintain office records and databases, ensuring accuracy and confidentiality of sensitive information.
Programs & Culture Support
- Schedule and coordinate Learning & Development sessions.
- Build and maintain internal documentation using workplace collaboration tools.
- Support the internship program, including onboarding, scheduling, and check-ins with interns.
Event Coordination
- Assist with planning and execution of all company events, including internal culture events, offsites, and team-building activities.
- Support event logistics such as vendor communications, venue coordination, catering, setup, and cleanup.
- Help track event budgets and gather feedback to improve future events.
HR Onboarding Support
- Assist HR with administrative onboarding tasks, including preparing welcome materials, coordinating desk setup, and scheduling introductory meetings.
- Help ensure new hires have a smooth first-day experience and the resources they need.
- Maintain and update onboarding checklists.
- Bachelor's degree in Business, Communications, Hospitality, or a related field.
- Strong organizational and multitasking abilities.
- Strong problem-solving skills and a proactive, take-initiative approach to work.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook), Microsoft Teams, and scheduling tools.

- Willingness to learn AI tools and apply them to automate and streamline day-to-day tasks.
- Familiarity with Jira, Confluence, or similar workplace collaboration and project management tools; willingness and ability to learn new systems required.
