THE ROLE

 We are looking for a polished, exceptionally organized Junior Executive and Personal Assistant to join our executive support team. Reporting directly to the Senior Executive Assistant, you will provide support to the Chairman and the CEO, managing the full scope of their professional and personal needs with precision and discretion. The scope of this role spans three distinct areas of support: the Chairman's Paterson Partners family office, including personal and lifestyle coordination, and executive level administrative support across both FUTR and FutureVault as well as the CEO’s FUTR busy schedule. You will be the operational backbone across all three, ensuring nothing falls through the cracks. This is a high impact, on site role for someone who is genuinely excited to be part of a company at the intersection of AI and digital assets, an environment where technology is evolving quickly and the work you enable has real consequence. WHAT YOU'LL DO

 • Manage and prioritize communications across multiple executive inboxes (corporate and personal), flagging urgent items and driving timely follow up. 

• Own the executive calendars: scheduling meetings, sending reminders, and ensuring materials are prepared in advance. 

• Coordinate complex business and personal travel arrangements, including bookings for family members. 

• Plan and execute meetings, offsites, conferences, retreats, and team events, every detail, end to end. 

• Support three residential properties through vendor coordination, maintenance scheduling, and general logistics. 

• Keep office operations running smoothly: supplies, restocking, and shared space management. 

• Handle a range of personal and business errands to support daily operations. 

• Track action items and deadlines across multiple workstreams and ensure consistent followthrough. 

• Support the CEOs of FUTR and FutureVault with scheduling, logistics, and administrative tasks. 

• Draft and manage professional correspondence on behalf of the executive. 

• Maintain organized records and document filing within FutureVault's platform. 

• Track and reconcile expenses accurately and on time. 

• Manage last-minute pivots and high-pressure situations with calm and efficiency. 

 

WHAT YOU BRING 

• Post-secondary diploma or degree in Business Administration, Office Administration, or a related field. Equivalent experience considered. 

• 1 to 3 years of experience in an executive assistant, administrative, or operations support role; exceptional new graduates will be considered. 

• Advanced proficiency in Microsoft Office Suite: Outlook, Word, Excel, PowerPoint, Teams, and SharePoint. 

• Proven ability to coordinate complex domestic and international travel. 

• Exceptional organizational skills with an unwavering eye for detail. 

• Absolute discretion. You treat confidential information as non-negotiable.

• Strong written and verbal communication skills; you can draft polished correspondence independently. 

• Calm under pressure with the ability to manage competing priorities without losing composure.

 

NICE TO HAVE 

• Experience supporting personal and household logistics: property management, vendor coordination, lifestyle errands. 

• Familiarity with expense management tools and document management platforms. 

• Prior experience in a fintech, startup, or high-growth technology environment. 

COMPENSATION

$50,000 to $70,000 CAD annually, commensurate with experience. Full time, permanent position. Competitive benefits package included.
