Moon Valley Nurseries is seeking a detail-oriented and customer-focused Irrigation Administrative Coordinator to support the daily operations of the irrigation division. This role is responsible for coordinating schedules, assisting customers, managing administrative functions, and supporting field operations to ensure efficient service delivery and high levels of customer satisfaction.

The ideal candidate is organized, professional, capable of managing multiple priorities, and comfortable working in a fast-paced environment while supporting both customers and operational teams.

 

 

 Key Duties and Responsibilities                                                                                                                                                          
  • Schedule irrigation service appointments, consultations, and field visits for technicians and field crews
  • Coordinate daily schedules and routing to support operational efficiency
  • Serve as a primary point of contact for customer communication regarding scheduling, service updates, and general inquiries
  • Provide exceptional customer service while professionally representing the Moon Valley Nurseries brand
  • Maintain accurate customer records, notes, service requests, and scheduling updates within HubSpot or similar platforms
  • Assist with proposal preparation, work orders, invoicing support, and administrative documentation
  • Communicate with irrigation technicians, foremen, and leadership teams regarding scheduling changes, customer needs, and operational priorities
  • Monitor incoming service requests and ensure timely follow-up with customers
  • Support operational reporting, data entry, and document organization
  • Assist with maintaining compliance records, permits, and licensing documentation as needed
  • Coordinate internal communication between sales, operations, and irrigation field teams
  • Support additional administrative and operational tasks as assigned
  • Job costing and profit and loss assistance

Qualifications
Qualifications: Knowledge, Skills & Abilities
  • Previous administrative, scheduling, customer service, or operations support experience preferred
  • Experience in irrigation, landscaping, construction, nursery operations, or related industries is a plus
  • Strong communication and customer service skills
  • Excellent organizational and time management abilities
  • Ability to prioritize multiple tasks in a fast-paced environment
  • Strong attention to detail and problem-solving skills
  • Comfortable using digital tools such as HubSpot, Microsoft Office, mobile applications, and scheduling software
  • Bilingual (English/Spanish) is highly preferred
  • Ability to work independently and collaboratively with multiple departments
  • Valid driver’s license preferred
 

 

Education                                                                                                                                                                                                 

High school diploma or equivalent required.

 

 Physical requirements/Working Conditions                                                                                                                                   

While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. The employee must frequently lift and/or move items over 15 pounds. Able to work outdoors for extended periods of time in possibly extreme conditions, including rain, heat, sun, and wind.
