Summary

The Install Coordinator is responsible for managing the day-to-day scheduling, communication, and administrative support necessary for installation projects. This role focuses on operational support, documentation, and customer communication to ensure technicians have the resources required to complete jobs successfully. The coordinator has a direct impact on daily workflow, technician productivity, and the consistency of customer communication.

 Roles & Responsibilities
•    Schedules installations and assigns appropriate technicians to specific projects.  
•    Communicates directly with customers regarding installation dates, site access, and specific requirements.  
•    Prepares comprehensive job packets, documentation, and work orders for field teams.  
•    Verifies that all necessary materials and equipment are ready and available for each scheduled job.  
•    Updates internal systems with real-time job status and technician notes.  
•    Supports the billing process by providing accurate and timely job details.  
•    Resolves tactical scheduling or logistical issues as they arise.  
•    Acts as an individual contributor with no direct reports, focusing on tactical daily logistics.  
•    Ensures a seamless flow of information between the customer and the installation team.
•    Other duties as assigned.
Job Requirements

Education & Experience:
•    High School Diploma or equivalent; Associate’s degree preferred.
•    2 + years of experience
•    Prior experience in scheduling, dispatching, or administrative support within a manufacturing or service environment.  
•    Experience working within a fast-paced, logistics-heavy department.

Functional/Technical Knowledge, Skills & Abilities:
•    Strong organizational skills with the ability to manage multiple schedules simultaneously.  
•    Excellent verbal and written communication skills for professional customer interaction.  
•    Proficiency in utilizing workforce management software and updating internal databases.  
•    Basic understanding of logistical planning and resource coordination.  
•    Proficient in MS Office products (Excel, Word, MS Outlook, MS PowerPoint)
•    Ability to make quick, tactical decisions to resolve scheduling conflicts.

Physical Requirements:
•    Ability to travel to various regional locations or job sites as required.
•    Standard office environment requirements with occasional field visits to conduct audits or site inspections.
•    The ability to occasionally lift and move up to 50 lbs. of equipment or documents.
