Hunton Trane, a division of Hunton Group, is seeking an organized and service-oriented Industrial Administrative Assistant to provide day-to-day administrative support to our Industrial team. This in-office position helps keep departmental activities organized by coordinating schedules and meetings, preparing routine correspondence and reports, maintaining records, supporting office needs, and assisting with communication among team members, vendors, and other internal departments. The ideal candidate is dependable, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. The position may provide light administrative support for industrial projects, but it is not responsible for project management, technical decisions, job-cost ownership, or financial performance.

ResponsibilitiesAdministrative and Office Support- Provide daily administrative support to Industrial leadership and team members.
- Manage calendars, schedule meetings, coordinate conference rooms, and assist with meeting logistics.
- Prepare, format, proofread, and distribute correspondence, reports, presentations, meeting agendas, and minutes.
- Maintain organized electronic and hard-copy files, contact lists, distribution lists, and departmental records.
- Monitor office and departmental supplies, place routine orders, and coordinate general office needs.
- Assist with incoming calls, visitors, mail, deliveries, and other routine administrative requests.
- Serve as an administrative point of contact for team members and coordinate routine communication with internal departments, customers, and vendors.
- Support meeting follow-up by documenting action items, distributing information, and helping track routine administrative deadlines.
- Assist with department events, employee meetings, training coordination, travel arrangements, and related logistics as requested.
- Help onboard new team members by coordinating workspace readiness, supplies, schedules, and required administrative documentation.
- Provide basic administrative support for industrial projects by organizing documents, updating routine trackers, and assisting with data entry in company systems.
- Assist with purchase-order requests, order tracking, packing slips, and invoice routing under the direction of the appropriate team member.
- Help collect and route timekeeping, expense, vendor, and other project-related documentation for review and approval.
- Maintain administrative records and support document distribution as directed; escalate discrepancies or missing information to the responsible project or department team member.
- Follow established company procedures and maintain confidentiality when handling employee, customer, vendor, and business information.
- Collaborate with other administrative professionals and departments to support consistent processes and timely service.
- Perform other administrative duties as assigned to support the Industrial team and business operations.

- Prior administrative experience in construction, industrial services, engineering, HVAC, or a related environment is preferred but not required.
- High school diploma or GED required; associate degree or additional business/administrative training preferred.
- Two or more years of administrative, office coordination, or related support experience preferred; an equivalent combination of education and experience will be considered.
- This is an in-office position based at Hunton Trane's Westpark location in Houston, Texas.
- The role primarily works in a professional office environment and regularly uses computers, phones, and standard office equipment.
- Must be able to manage changing priorities and occasional time-sensitive requests during regular business operations.
- Ability to pass a background check and pre-employment drug screening.
