Position Overview: We are seeking a professional and customer-focused Client Service Representative to support day-to-day office operations and provide a high-quality experience for clients and visitors. This role is responsible for greeting customers, answering calls, processing account requests and payments, coordinating appointments, managing mail, and supporting administrative projects. The ideal candidate is organized, detail-oriented, and comfortable balancing customer service responsibilities with clerical and office support tasks. This position plays a key role in maintaining smooth office operations, supporting internal teams, and delivering responsive service to clients.

Work Arrangement: This is a full-time position working in our office located in Sioux Falls, SD.

Professional Responsibilities:

  • Greet and assist customers professionally both in person and over the phone.
  • Respond to customer inquiries, process account changes, and accept payments accurately.
  • Manage incoming calls and direct customers and callers to the appropriate team members.
  • Coordinate, schedule, and confirm appointments, meetings, and related office activities.
  • Process, sort, and distribute incoming and outgoing mail.
  • Maintain office supply inventory and coordinate ordering and distribution as needed.
  • Prepare, update, organize, and maintain files, records, correspondence, and other office documentation.
  • Support administrative and operational projects through research, document preparation, data entry, and general office support activities.
  • Communicate professionally with clients, team members, and business partners to support timely and accurate service.
  • Assist with daily office needs while maintaining a professional, organized, and welcoming environment.

Qualifications and Requirements:

  • 3-5 years of experience in customer service, administrative support, clerical support, office support, or a related role.
  • High school diploma required; Associate degree preferred.
  • Strong verbal and written communication skills, including excellent grammar, spelling, and punctuation.
  • Exceptional customer service and interpersonal skills with a professional and approachable demeanor.
  • Strong attention to detail and organizational skills.
  • Demonstrated ability to prioritize tasks, manage time effectively, and work independently.
  • Proficiency with Microsoft Office Suite and standard office technology and equipment.
  • Ability to work collaboratively in a team-oriented environment while remaining flexible in a dynamic workplace.
