The purpose of this classification is to provide direct administrative and functional support to the Vice President for Human Resources and staff and to assist internal and external customers who are seeking Human Resources information and assistance.


The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned. 

 

Utilizes administrative and technical office skills and knowledge of Agency policy, practices and procedures necessary to provide office support specific to the needs of an HR Department, particularly a high degree of confidentiality. Answers telephones, directs calls to appropriate agency   personnel   and   handles   calls   when necessary; organizes and maintains files and records, inclusive of personnel files; meets public as required to provide general information; and composes and prepares routine correspondence.

 

Operates a variety of automated information processing equipment to prepare reports, purchase orders, budgets, correspondence and other documentation; coordinates office functions with other departments; and orders and maintains office supplies and stockroom area, copier and fax equipment.

 

Assists in planning events; making reservations, obtaining supplies and catering services, setting up for meetings and banquets and setting up audio/visual equipment and making seating arrangements for the conference facilities.

 

Assists with recruitment activities such as job postings, managing internal website, web hiring sites, college and universities and available community resources; collects and reviews resumes; coordinates interview with candidates and hiring managers; prepares interview materials;

 

Processes information requests inclusive of employment verifications, loan forgiveness, and legal requests.

 

Organizes and monitors pre-employment drug testing and references checking activities; administers and extends employment offers and schedules start dates.

 

Coordinates and facilitates new hire orientation; reviews new hire packet forms; enters data into various system programs, track and assists with administration of the educational assistance program and drug and alcohol testing programs; develops and implements employee engagement activities for the agency.

 

Coordinates and prepares for quarterly retirement committee and PMM monthly meetings including minute taking and transcribing. 

 

Attends and participates in meetings, trainings, conferences, seminars and workshops for professional growth and development and to obtain best practices to enable improving job knowledge ability and skills.

 

Anticipates the meets the needs of both internal and external customers.

Qualifications

Associate degree in related field; three years of work experience in office administration for a large Social Services Agency or related field.

Skills Required
