WHAT YOU'LL DO: 

The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the Organization's Human Resources Department.

  • Maintains accurate and up-to-date personnel files, records, and documentation. 

  • Conducts daily onboarding tasks including sending Offer Letters, New Hire documentation, processing background checks, completing I-9 verification forms, conducting I-9 verification calls, and setting up new hires in the payroll software. 

  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to HR Generalist and/or Manager. 

  • Provides administrative support to maintain the HR inbox, as approved. 

  • Processes internal pay changes and promotions as requested, ensuring that all changes are accurately tracked on internal resources. 

  • Maintains the integrity and confidentiality of personnel files and records.

  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately; ensures the New Hire Checklist is completed at the end of each calendar month.

  • Provides clerical support to the HR Department at the direction of the HR Generalist and HR Manager.

  • Acts as a liaison between the Organization and PEO, as needed. 

  • Participates in Company Culture initiatives, including appreciation efforts, new hire check-ins, and related projects, as assigned. 

  • Seeks to become self-educated on the Company’s personnel policies, procedures, and practices. 

  • Conducts research projects, as assigned.

  • Records accurate data for each employee, and saves relevant communication from inbox inquiries, as needed.

  • Assists with planning and execution of special events such as benefits enrollment, Organization-wide meetings, employee recognition events, and new hire orientation. 

  • Follow all policies and procedures for the department and Company, including personnel policies and expectations as outlined in the Employee Handbook. 

  • Other duties as assigned. 

WHAT YOU'LL NEED:

  • High school diploma or GED required.

  • 6+ months of HR or relative experience.

  • Excellent verbal and written communication skills. 

  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. 

  • Excellent organizational skills, attention to detail, and the ability to handle multiple priorities and tasks.

  • Positive attitude, willingness to learn, and ability to work collaboratively in a team environment.

  • Proficient with Microsoft Office Suite or related software. 

  • Proficient with or the ability to quickly learn human resources platforms & software. 

  • Highly motivated.

Job Type: Full-time, non-exempt

Schedule: 8-hour shift, Monday to Friday 
Location: Irvine, CA; Hybrid
