The Opportunity
We are seeking an experienced HR and Payroll Manager to support our office, people and payroll process.
Reporting directly to the Human Resources Director, the Human Resources & Payroll Manager will own processing the Company’s payroll, as well as be the hands-on person for office administration. The person stepping in to this role will be involved with compensation and benefits, payroll, compliance, employee relations, office and breakroom administration, and workplace culture.
The role carries broad responsibility for people-related compliance and processes that shape employee engagement, organizational effectiveness, compliance, performance, and ultimately, business results.
We are looking for a manager who is comfortable rolling up their sleeves to get the work done and making suggestions and recommendations for a better place to work.
Our Workplace
Our office is located at 115 Sansome Street in downtown San Francisco in a newly remodeled, upscale setting designed to foster collaboration and connection. Hotaling & Co. currently maintains a hybrid workplace, combining on-site and remote work. Employees are onsite Tuesday through Thursday and remote Monday and Friday. As with any workplace practice, the hybrid work model may vary, or change, based on the needs of the business.
Job Description- Partner with the Director of Human Resources to support the organization’s HR strategy, employee experience, and office operations.
- Support the development, implementation, and administration of HR policies, processes, programs, and training initiatives that promote compliance and align with organizational goals.
- Own the accurate and timely processing of bi-weekly payroll, ensuring compliance with applicable federal, state, and local wage, hour, and payroll tax requirements.
- Administer the company’s payroll and HRIS systems, including ADP, and maintain accurate employee and payroll records.
- Review and ensure accurate calculation and processing of wages, overtime, bonuses, commissions, deductions, and other forms of compensation.
- Manage payroll-related compliance matters, including wage and hour requirements, payroll taxes, garnishments, levies, and other legally mandated deductions.
- Administer payroll-related deductions and contributions for 401(k), health insurance, HSA/FSA, and other employee benefit programs.
- Manage off-cycle payrolls, manual checks, adjustments, and other special payroll processing as needed.
- Coordinate payroll tax filings and remittances, working closely with the Controller to ensure accuracy, timeliness, and compliance.
- In partnership with the Controller, support the preparation, reconciliation, and distribution of year-end tax documents, including W-2s and 1099s, as well as quarterly and year-end payroll reporting.
- Establish, maintain, and close state and local payroll tax accounts as the organization expands or business needs change.
- Serve as a trusted HR resource to employees and managers, providing guidance on payroll, benefits, policies, procedures, and general HR matters.
- Support employee lifecycle activities, including recruiting, onboarding, employee changes, leaves of absence, disciplinary matters, offboarding, and other employee relations processes.
- Support performance and talent management, employee engagement, recognition, morale, training and development, and workplace health and safety initiatives.
- Maintain and support day-to-day office operations, including purchasing and inventory management for office, kitchen, and other workplace supplies.
- Champion and reinforce the organization’s culture, mission, and values through day-to-day interactions and HR practices.
- Support Accounting, Operations, and HR compliance processes outside of payroll, as needed, in partnership with the HR Director, Controller and other organizational leaders.
- Identify opportunities to improve payroll, HR, and office processes through increased efficiency, automation, and best practices.
- Perform other duties and special projects as assigned.
- A bachelor’s degree desired.
- Minimum 4 years of industry-related HR experience.
- Experience with ADP preferred, or similar HRIS systems
- Knowledge of labor, state and federal laws and regulations.

Physical requirements
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds occasionally.
- hybrid schedule, with employees working onsite Tuesday through Thursday and remotely Monday and Friday.
