Job Description:
- Maintain and optimize the Applicant Tracking System (ATS) and HRIS by ensuring accurate organizational structures, compensation details, employee data, and workflow updates.
- Coordinate and manage all new‑hire data entry and onboarding processes within the HRIS and payroll systems to provide a seamless, efficient candidate‑to‑employee experience.
- Ensure full compliance with required documentation, including I‑9 forms, employment agreements, and financial onboarding paperwork; prepare and maintain new‑hire packets and digital records.
- Manage candidate relocation processes, including request handling, required documentation, reimbursements, and coordination across internal teams.
- Process invoices and payments for contractors, interns, and HR‑related vendors (e.g., background check providers, HR service partners).
- Maintain accurate and up‑to‑date HR documentation such as org charts, staff rosters, and departmental reference materials.
- Prepare and deliver regular HR operational reports, dashboards, and compliance summaries to support policy adherence and departmental decision‑making.
- Serve as the first point of contact for the HR shared inbox, addressing employee inquiries and triaging matters to the appropriate HR team member.
- Generate and provide employment verification letters and related documentation upon request.
- Identify opportunities to streamline HR workflows and improve data integrity across systems and processes.
- Assist with evaluating and implementing HR technology enhancements and system upgrades.
- Develop and maintain SOPs for HR processes to ensure consistency and efficiency across the department.
- Support internal and external audits by preparing required HR documentation and ensuring data accuracy.
- Monitor compliance deadlines (e.g., I‑9 reverification, contract renewals) and coordinate timely follow‑up.
- Support HR projects and initiatives as business needs evolve.
