Scope
The HR & Operations Officer will be responsible for managing the full spectrum of human resource activities
while overseeing the effective utilisation, tracking, and reporting of company
assets. The role will ensure that HR practices, workforce planning, performance
management, and resource utilisation align with business objectives and
applicable Ghanaian labour, FDA, WHO, and GMP requirements.
Key
Responsibilities
- Support the recruitment process for technical and non-technical positions, including job postings, CV screening, interview coordination, reference checks, and recruitment documentation.
- Coordinate employee onboarding, induction, orientation, and exit processes, ensuring that all required documentation is completed.
- Maintain accurate and up-to-date employee records, personnel files, attendance records, leave records, and other HR documentation.
- Assist with the preparation and administration of employee contracts, letters, HR forms, and other employment-related documentation
- Support the implementation of employee performance appraisal processes, including coordinating appraisal schedules, collecting completed forms, and maintaining records.
- Assist in monitoring employee attendance, leave, performance, and other workforce-related information and prepare regular HR reports as required.
- Coordinate employee training and development activities, including identifying training needs, arranging training programmes, and maintaining training records.
- Support the HR team in handling employee queries, grievances, disciplinary matters, and workplace concerns in line with company policies.
- Assist with the implementation and communication of HR policies, procedures, and internal processes.
- Support compliance with applicable Ghanaian labour requirements and relevant pharmaceutical industry requirements, including FDA and GMP-related HR documentation and training requirements.
- Maintain HR records and documentation in a manner that supports internal and external audits.
- Assist with employee engagement activities and initiatives that promote a positive and professional work environment.
- Maintain and update HR databases, spreadsheets, and digital HR systems to ensure accurate and accessible employee information.
- Support the tracking and documentation of company assets, including asset allocation, movement, maintenance, and returns.
- Maintain accurate asset registers and prepare periodic asset tracking and utilisation reports.
- Liaise with relevant departments to follow up on HR and administrative requirements and ensure timely completion of assigned tasks.
- Prepare routine HR and operations reports and provide administrative support to the Head of HR as required.
- Perform other HR and administrative duties as assigned by the Head of HR.
Requirements
Requirements
- Bachelor’s degree in Human Resource Management, Business Administration, Industrial Relations, or a related field.
- Minimum 5 years of experience in HR administration, HR operations, or a similar role, ideally within the pharmaceutical, healthcare, manufacturing, or other regulated environment.
- Professional HR certification such as CIPD, SHRM, or IHRMP Ghana is an added advantage.
- Good working knowledge of Ghanaian labour laws, HR policies, and employment practices.
- Basic understanding of WHO/GMP requirements and the importance of compliance and proper documentation within a pharmaceutical or manufacturing environment.
- Experience with HRIS, Microsoft Office, and other digital HR systems is preferred.
- Practical experience in recruitment coordination, onboarding, employee records, attendance and leave administration, training coordination, performance management support, and employee engagement.
- Good organisational and administrative skills, with strong attention to detail and accuracy.
- Good written and verbal communication skills, with the ability to interact professionally with employees and external stakeholders.
- Ability to handle confidential employee information with discretion and professionalism.
- Ability to work independently, manage multiple tasks, and meet deadlines.

Skills Required
