Position Overview

The HR Operations Coordinator III will serve as an HR partner to U.S. and international employees and leaders, providing expert guidance and executing on complex HR matters. They will provide strategic and functional support to the HR Operations team while ensuring a high level of internal and external customer satisfaction and service.  The HR Operations Coordinator III is responsible for leading centralized talent acquisition and employee lifecycle operational processes to include HR inquiries, new hire onboarding, interview scheduling, terminations, employment offers and background checks, job descriptions, various compliance programs, and other processes as developed by the HR Operations team.

Essential Duties

include but are not limited to the following:

  • Perform mostly non-routine assignments using standard methods and sequences with no appreciable instruction.  Ability to adjust, modify, and replace set processes as directed.
  • Advise and influence leaders on key HR decisions, balancing business needs, risk and compliance considerations.
  • Lead the logistics and preparation of employee or new hire HR tasks.
  • Ensure accurate data delivery through transactions in various systems and data entry.
  • Proactively audit HR systems to ensure the integrity of candidate and employee data.
  • Perform employee file maintenance including filing of records, records retention activities and agreement tracking.
  • Lead inbox or case management through independent problem solving and when necessary, triage to appropriate stakeholders.
  • Act as a key advisor and executor on project teams as needed to support initiatives.
  • Demonstrate critical thinking, judgment, initiative, and creativity to independently troubleshoot complex assignments with minimal support from leadership.
  • Maintain highly ethical approach in the protection of confidential data, acting with the utmost scrutiny, judgment and care.
  • Ensure awareness of compliance with employment regulations and laws.
  • Understand the level of impact and risk of the role to the organization.
  • Uphold company mission and values through accountability, innovation, integrity, quality, and teamwork.
  • Support and comply with the company’s Quality Management System policies and procedures.

  • Regular and reliable attendance.
  • Ability to work overtime as needed.
  • Ability to lift up to 25 pounds for approximately 5% of a typical working day.
  • Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 85% of a typical working day.
  • Ability and means to travel between Exact Sciences locations.

Minimum Qualifications

  • 4+ years of demonstrated experience working with or supporting a Human Resources function, recruitment team, and/or HR Operations processes.
  • Applies thorough knowledge of business concepts, procedures, practices, and a general understanding of Human Resources fundamentals.
  • Demonstrated ability to build relationships and effectively connect with others.
  • Professional working knowledge of Microsoft Office Suite (Outlook, Word, Excel, and Power Point).
  • Authorization to work in Poland without sponsorship. Demonstrated ability to perform the Essential Duties of the position with or without accommodation.
  • Fluent in English, Polish and at least one other language (German, French, Italy, Japanese, Spanish)

Preferred Qualifications

  • Bachelor’s degree in Business Administration or related field (Human Resources preferred).
  • Experience with Workday or other applicant tracking system.
  • Professional experience in a fast-paced business setting. 
  • HR certification (Swiss HR Certification, PHR, SPHR, SHRM CP, SHRM SCP, CIPD, GPHR, IHRC, etc.).
  • Experience working with international HR policies, employment laws, and best practices.
  • Experience documenting and writing effective standard operating procedures.
  • Experience leading HR projects with enterprise-wide impact.
  • Experience in Microsoft OneNote and advanced knowledge in Microsoft Excel doing v-lookups, x-lookups, pivot tables, etc. 
  • Experience with Workday and an HR case management system (i.e., ServiceNow).
  • Experience using critical thinking and influence to guide employees and business leaders in resolving complex organizational challenges and conflicts, while consistently balancing risk and compliance considerations.
