HR & Executive Operations Specialist (3410)
HR & Executive Operations Specialist
Location: Memphis, TN
Salary: $45,000–$55,000/year (commensurate with experience)
Status: Full-time, Onsite
About Us:
We are an innovative charter school with a mission to provide exceptional education and a thriving workplace. We’re looking for a smart, proactive, and resourceful HR & Executive Operations Specialist to partner directly with our Chief Human Resources Officer (CHRO) in running a high-functioning, people-focused HR department.
If you enjoy variety, love being the right-hand to a senior leader, and have a knack for keeping things organized and moving forward, this role is for you.
What You’ll Do:
You will serve as the CHRO’s go-to person for HR operations, recruiting, and daily coordination. Your responsibilities will include:
- Daily partnership with CHRO: Start each day mapping priorities, action items, and deadlines.
- Recruiting coordination: Post roles, manage applicant flow, conduct initial screenings, schedule and sometimes lead interviews, and prepare offer letters.
- Onboarding & benefits administration: Facilitate new hire sessions, enroll employees in benefits, and ensure compliance with all required documentation.
- HR reporting & metrics: Generate reports in Paycom, track HR KPIs, and assist with data analysis.
- Payroll support: Review payroll runs in Paycom for accuracy, assist with corrections, and ensure compliance with all payroll processes.
- Document management: Maintain accurate and confidential employee files, track contracts, and manage sensitive correspondence.
- Communications: Draft letters, memos, and announcements — often using AI (Artificial Intelligence) tools to speed up and refine messaging.
- Executive support: Screen visitors, help manage scheduling, and proactively identify needs before they arise.
Why You’ll Love Working Here:
- You’ll work side-by-side with the CHRO and gain exposure to both strategic and operational HR work.
- You’ll have variety in your day — from hiring the right people to improving processes that keep our team running smoothly.
- You’ll be part of a mission-driven school making a real impact.
- Business casual environment with an emphasis on professional polish.
What We’re Looking For:
- Education:
- Bachelor’s degree in Human Resources, Business Administration, or related field required.
- HR certification (PHR, SHRM-CP, or higher) preferred — or a demonstrated commitment to earning one.
- Experience:
- 2–4 years in HR, office management, or a combined HR/administrative support role.
- Charter school or education environment experience a plus, not required.
- Skills:
- Strong organizational skills and exceptional attention to detail.
- Ability to handle confidential information with discretion.
- Excellent written and verbal communication skills, with professional polish.
- Tech Comfort:
- Familiarity with HRIS systems (Paycom experience preferred), Microsoft Office, and emerging AI (Artificial Intelligence) tools like ChatGPT.
- Presence & Demeanor:
- Professional, approachable, and confident when interacting with leadership, employees, and visitors.
- Personality:
- Proactive, solutions-oriented, calm under pressure, and positive in all interactions.
