We are seeking a highly organized, detail-oriented, and professional HR Assistant to support the Human Resources department with day-to-day administrative and personnel-related activities. The HR Assistant will assist with employee records, recruitment, onboarding, scheduling, benefits administration, payroll support, employee communications, and general HR operations.

The ideal candidate is dependable, approachable, organized, and able to handle confidential information with discretion. This position requires strong communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Provide administrative support to the Human Resources department.
  • Maintain accurate and up-to-date employee personnel files and records.
  • Assist with the preparation and processing of HR documents, forms, reports, and correspondence.
  • Support recruitment activities, including posting job openings, reviewing applications, scheduling interviews, and communicating with candidates.
  • Assist with new-hire onboarding, including preparing paperwork, coordinating orientation, and ensuring required documents are completed.
  • Maintain employee information in HRIS and other company systems.
  • Assist with employee offboarding and termination procedures.
  • Respond to employee questions regarding HR policies, procedures, benefits, payroll, timekeeping, and other general HR matters.
  • Direct employees to the appropriate HR team member when issues require additional assistance.
  • Assist with benefits enrollment, changes, and employee communications.
  • Provide administrative support for payroll processing, including reviewing timesheets and identifying discrepancies.
  • Maintain employee attendance, leave, and time-off records as applicable.
  • Assist with compliance-related documentation and reporting.
  • Schedule meetings, interviews, orientations, and HR appointments.
  • Prepare reports, spreadsheets, presentations, and other HR-related materials.
  • Assist with employee engagement activities, company events, and recognition programs.
  • Help maintain and distribute employee handbooks, policies, procedures, and other HR communications.
  • Ensure confidential employee information is handled appropriately and securely.
  • Assist with audits and ensure HR records are complete and accurate.
  • Track required employee certifications, training, and documentation.
  • Assist HR management with special projects and process improvements.
  • Perform other duties as assigned.

Recruitment Support

The HR Assistant may assist with the full recruitment process by:

  • Posting and updating job advertisements.
  • Reviewing applications and resumes.
  • Communicating with applicants.
  • Scheduling interviews.
  • Coordinating candidate information with hiring managers.
  • Preparing interview materials.
  • Conducting reference or background-check coordination as authorized.
  • Maintaining recruitment records and applicant tracking systems.

Employee Onboarding

  • Prepare new-hire paperwork and onboarding materials.
  • Verify required employment documentation.
  • Coordinate orientation and training schedules.
  • Set up employee files and HRIS records.
  • Coordinate with IT, payroll, facilities, and management to prepare for new employees.
  • Ensure new hires receive applicable policies, procedures, and benefits information.
  • Follow up on outstanding onboarding documents.

Qualifications

Required Qualifications

  • High school diploma or equivalent required; associate or bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • Previous administrative, customer service, office, or HR experience preferred.
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Proficiency with Microsoft Office or Google Workspace.
  • Basic knowledge of HR practices and employment procedures.
