The Role
Provide administrative and operational HR support across employee records, recruitment, onboarding, benefits administration, payroll coordination, employee communications, compliance, and general HR activities. We are seeking a highly organized, detail-oriented, and people-focused HR Assistant to support the day-to-day operations of the Human Resources department. The HR Assistant will provide administrative and operational support across employee records, recruitment, onboarding, benefits administration, payroll coordination, employee communications, compliance, and general HR activities.

Key Responsibilities

HR Administration

  • Maintain accurate and up-to-date employee personnel files and HR records.
  • Enter and update employee information in HRIS and other internal systems.
  • Prepare HR documents, reports, letters, forms, and correspondence.
  • Track employee changes, including hires, promotions, transfers, leaves, and terminations.
  • Assist with maintaining organizational charts, employee directories, and HR databases.
  • Respond to routine employee questions and direct complex matters to the appropriate HR team member.
  • Maintain confidentiality of sensitive employee and company information.
  • Assist with HR audits and periodic record reviews.

Recruitment and Hiring

  • Post job openings on approved job boards and internal platforms.
  • Review applications and resumes and assist with candidate screening.
  • Coordinate interviews between candidates and hiring managers.
  • Communicate with candidates regarding interview schedules and next steps.
  • Maintain accurate applicant tracking records.
  • Assist with reference checks, background checks, and pre-employment documentation as required.
  • Prepare offer letters and other new-hire documentation under HR supervision.

Onboarding and Offboarding

  • Coordinate onboarding activities for new employees.
  • Prepare new-hire paperwork, orientation materials, and employee files.
  • Ensure required employment documents are completed and maintained.
  • Coordinate onboarding schedules with hiring managers and relevant departments.
  • Assist with employee orientation and HR policy communications.
  • Support offboarding and termination processes, including documentation, exit interviews, and collection of company property.

Payroll and Benefits Support

  • Assist with collecting and reviewing timekeeping and attendance information.
  • Coordinate payroll-related employee changes with payroll personnel or external providers.
  • Help employees with basic questions regarding benefits, payroll, deductions, and time-off policies.
  • Assist with benefits enrollment and employee documentation.
  • Maintain accurate records related to paid time off, leave, and benefits.
  • Escalate payroll or benefits issues requiring specialized assistance.

Employee Relations and HR Support

  • Serve as a professional first point of contact for routine HR questions.
  • Help communicate HR policies, procedures, programs, and announcements.
  • Assist HR leadership with employee engagement activities and initiatives.
  • Support employee events, training programs, and internal HR projects.
  • Document and organize HR-related information as directed.
  • Handle employee information with professionalism, discretion, and appropriate confidentiality.

Compliance and Policy Support

  • Assist with maintaining compliance-related employee records and documentation.
  • Help ensure required employment forms and acknowledgments are completed.
  • Support HR compliance audits and reporting.
  • Assist with tracking required training and certifications.
  • Stay informed about company HR policies and procedures and escalate potential compliance concerns to HR leadership.

General Responsibilities

  • Schedule meetings and maintain HR calendars.
  • Prepare presentations, spreadsheets, reports, and other HR materials.
  • Assist with HR projects and process-improvement initiatives.
  • Coordinate with managers, employees, payroll, benefits providers, and other departments.
  • Perform other duties as assigned by the HR Manager or HR leadership.

Required Qualifications

  • High school diploma or equivalent required; associate or bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • 1–3 years of administrative, HR, recruiting, or related professional experience preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential and sensitive information appropriately.
  • Proficiency with Microsoft Office or Google Workspace.
  • Ability to learn and use HRIS, applicant tracking systems, payroll systems, and other HR technology.
  • Strong interpersonal skills and a professional, service-oriented approach.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.

Preferred Qualifications

  • Previous experience working in an HR department.
  • Experience with an HRIS or applicant tracking system.
  • Familiarity with recruiting and onboarding processes.
  • Basic understanding of employment policies and HR practices.
  • Experience preparing HR reports and maintaining employee records.
  • SHRM-CP, SHRM-CA, PHR, or other HR-related certification is a plus.
