The HR Assistant provides administrative and operational support to the Human Resources department. This position assists with recruiting, onboarding, employee records, benefits administration, payroll coordination, employee communications, and general HR activities. The ideal candidate is organized, detail-oriented, professional, trustworthy, and able to handle confidential employee information appropriately.
Key Responsibilities
Provide administrative support to the Human Resources department.
Maintain accurate and confidential employee personnel records.
Assist with preparing and processing new-hire paperwork.
Coordinate employee onboarding and orientation activities.
Post job openings on approved job boards and company career sites.
Review applications and assist with scheduling interviews.
Communicate with candidates regarding interviews, application status, and required documentation.
Assist HR staff with background checks, employment verification, and pre-employment requirements.
Maintain employee information in HRIS and other company systems.
Assist with employee status changes, transfers, promotions, and terminations.
Help employees with routine HR questions and direct complex matters to the appropriate HR professional.
Assist with benefits enrollment and provide employees with general benefits information.
Coordinate with payroll regarding employee time records, new hires, terminations, and other payroll-related changes.
Maintain attendance, leave, and time-off records as required.
Prepare HR reports, spreadsheets, letters, forms, and other documents.
Assist with employee training, meetings, and company events.
Help ensure HR policies and procedures are communicated and followed.
Maintain compliance-related records and documentation.
Organize electronic and physical HR files.
Assist with employee engagement and workplace initiatives.
Protect confidential employee, payroll, medical, and company information.
Perform other administrative and HR-related duties as assigned.
Required Qualifications
High school diploma or equivalent; associate or bachelor's degree in Human Resources, Business Administration, or a related field preferred.
Previous administrative, office, customer service, or HR experience preferred.
Strong written and verbal communication skills.
Excellent organizational and time-management skills.
Strong attention to detail and accuracy.
Proficiency with Microsoft Office or Google Workspace.
Ability to learn HRIS and other workplace software.
Ability to handle sensitive and confidential information professionally.
Strong interpersonal and customer-service skills.
Ability to work independently and as part of a team.
Preferred Qualifications
Previous Human Resources or recruiting experience.
Experience using an HRIS or applicant tracking system (ATS).
Knowledge of basic employment and HR practices.
Experience assisting with onboarding and employee records.
Experience with payroll or benefits administration.
Bachelor's degree in Human Resources, Business, or a related field.
HR certification or coursework is a plus.
