The Role:
Ho’okele is growing and looking to add an amazing Scheduling Manager to our team. The Scheduling Manager supervises and performs scheduling operations across traditional hourly and Vivia task-based services. This role leads scheduling staff and ensures clients receive timely, reliable coverage by effectively matching caregiver skills, availability, location, and capacity with client needs. Our ideal candidate is a friendly, motivated and enthusiastic individual who will provide exceptional customer service and support to both our clients and staff through a fast paced environment.

Your day will consist of:
- Leading and managing the scheduling function while actively performing caregiver scheduling, supporting the scheduling team, and ensuring client needs are met through effective coordination of caregiver availability, skills, care requirements, and geographic coverage.
- Managing staffing coverage by proactively filling open shifts, addressing call-offs, resolving scheduling conflicts, and ensuring continuity of care. Communicate schedule changes promptly and professionally with clients, families, and caregivers.
- Matching caregivers with clients based on skills, experience, compatibility, care needs, and geographic location.
- Monitoring scheduling performance and workforce utilization, including overtime, open shifts, service gaps, and other key metrics, while identifying opportunities for improvement.
- Responding to urgent staffing challenges, emergencies, and last-minute schedule changes with professionalism, sound judgment, and a solutions-focused approach.
- Maintaining accurate scheduling records and documentation, including caregiver availability, client information, service notes, and communication logs.
- Ensuring compliance with company policies, labor laws, payer requirements, and client care plans while supporting consistent, high-quality service delivery.
- Supporting payroll and billing accuracy through visit verification, reconciliation, and related administrative tasks.
Requirements:
Minimum Qualifications
- High school graduate or equivalent
- Customer service experience and enjoys working with people
- Prior managerial or supervisory experience, preferably in scheduling, staffing coordination, customer service, healthcare, home care, or another service-based environment
- Excellent communication skills, both verbal and written
- Strong problem solving skills and critical thinking skills
- Available for after hours and weekends on an on-call basis
- Ability to multitask, prioritize, and remain organized in a fast-paced environment with rapidly changing client, caregiver, and operational needs
- Detailed oriented and organized to ensure accuracy.
- Ability to use discretion and independent judgment
- Ability to use multiple software platforms, including scheduling systems, employee portals, Microsoft Office, mobile applications, and other technology tools needed for daily operations
- Strong interpersonal skills and ability to collaborate effectively with various departments throughout the organization
- Two years’ experience in health care related field
- Experience with home care scheduling
