Head of HR-Payroll & Administration

As the Head of HR-Administration at Batgroup, you will be the cornerstone of our operational HR and administration across our three distinct brands : Batmaid, Putzfrau, and Batsoft. In this dynamic, high-impact role reporting directly to the COO, you will lead a talented team of professionals to ensure a seamless, compliant, and highly efficient experience for our cleaning agents and clients.

While your core focus is driving HR and Payroll excellence for our massive field workforce, you will also own critical brand-level compliance, external corporate audits, and oversee specific invoicing operations, bridging the gap between HR administration, legal governance, and operational finance.

• Flawless Execution : Oversee the end-to-end field payroll process via SwissSalary, ensuring timely, 100% accurate salary payments, including adjustments, extra hours, and family allowance integrations.
• Compliance & Announcements : Manage comprehensive yearly salary announcements (AHV/IS/LAA/IJM) for Batgroup and Batsoft employers, ensuring strict alignment with Swiss legal requirements.
• Stakeholder Support : Act as the ultimate escalation point for complex payroll-related inquiries from agents, social workers, and unemployment offices.
• Data Integrity : Oversee payroll reporting, XML loading in eBanking, and the continuous maintenance and security of the SwissSalary database.

• Claims & Social Declarations: Supervise the accurate processing of sickness and accident claims. Oversee the seamless handling of all official administrative requests, such as intermediary gains and unemployment forms, ensuring timely collaboration with relevant Swiss authorities.
• Lifecycle Management : Oversee contract amendments, work certificates, outboarding, warnings, and complex termination cases, mitigating organizational risk and ensuring strict adherence to Swiss labor laws.

• Billing Operations : Supervise the processing, accuracy, and distribution of client invoices for the Batmaid and Batsoft brands.
• Overdue Management : Oversee the management of late payments, external invoice processing, and critical communications with our debt collection partner to ensure healthy cash flow.

• Team Leadership : Lead, mentor, and inspire a cross-functional team of HR and administrative professionals split across the Putzfrau and Batmaid.  Required to travel to Zurich (1x/week ideally, once every 2 week mandatory)
• Performance & Culture : Motivate your team daily, instill a proactive, problem-solving mindset, and ensure all KPIs are consistently met. Serve as the first point of escalation for complex operational issues.
• Reporting : Gather insights from your team regarding motivation, ideas, and operational bottlenecks, providing regular, structured reports and strategic recommendations to the COO.

• Corporate Governance : Establish and enforce rigorous internal controls across all three brands. Ensure strict, zero-tolerance compliance regarding valid work permits and legal authorization statuses for the entire field workforce.
• External Financial Audits : Act as the primary administrative lead for our annual corporate audits. Ensure all payroll, HR, and billing data is meticulously prepared, reconciled, and meets top-tier financial audit standards.
• Labor & Regulatory Compliance : Guarantee continuous, flawless adherence to the Swiss Collective Labor Agreements (CLAs). Take ownership of external labor and union audits, ensuring a seamless and fully compliant review process.

• 5+ years of proven leadership experience managing and developing administrative, HR, or payroll teams, ideally within a high-volume scale-up or complex operational environment.
• Deep, hands-on understanding of Swiss labor law, social security, payroll operations, and regulatory compliance.
• Proven experience managing complex regulatory and external audits, specifically social security (AHV/AVS), accident insurance (LAA/UVG), and Collective Labor Agreements (CLA/CCT), as well as successfully resolving trade union disputes and implementing cross-brand governance frameworks.
• Preferred : Practical knowledge of SwissSalary and Microsoft Dynamics Business Central.
• A "doer" with a process-driven mindset and a proven track record of optimizing workflows and automating repetitive tasks.
• Positive, energetic, and communicative : you know how to build a trusting environment, manage delicate situations, and constructively advise C-level leadership.
• Ability to travel to Zurich once a week.
• French and English mandatory, German a strong plus.
