The Grants Coordinator provides administrative and operational support to the Grants Department by managing manual data entry, maintaining grant records, organizing required documentation, and ensuring timely submission of information to funders and regulatory agencies. The ideal candidate is highly organized, detail-oriented, and comfortable working with multiple databases, confidential information, and strict reporting deadlines. The Grants Coordinator is an essential support role that improves departmental efficiency by supporting administrative and data management responsibilities.
ResponsibilitiesEssential Functions
- Perform high-volume manual data entry into state, city, and internal databases.
- Maintain organized and accurate client records and data in approved databases and software systems, ensuring strict confidentiality and data integrity.
- Collect, organize, and verify supporting documentation required by grant funders.
- Ensure all required grant records are complete, accurate, and compliant with funding requirements.
- Monitor reporting deadlines and assist in preparing documentation for timely submissions.
- Assist Grants Team with assembling grant packages, reports, and supporting documentation.
- Maintain document tracking systems and filing structures to ensure records are easily accessible for audits and monitoring visits.
- Support preparation for funder monitoring visits, audits, and compliance reviews.
- Generate routine reports from databases as requested by department leadership.
- Perform other administrative and departmental support duties as assigned.
Knowledge, Skills and Abilities:

- Experience working with electronic databases and data management systems.
- Proficiency with Microsoft Office Suite, particularly Excel and Word.
- Ability to maintain confidentiality when handling sensitive client and program information.

Minimum Education:
- High School Diploma or equivalent (higher degree accepted)
Minimum Experience:
- 1 year of administrative, data entry, or records management experience.
