JOB SUMMARY

The Grants and Project Coordinator coordinates the administrative and operational activities associated with the hospital’s portfolio of public and private grants and special projects. The position maintains grant and project workplans and reporting calendars, monitors deliverables and expenditures, coordinates required documentation, supports reimbursement and vouchering, prepares reports, and facilitates communication among hospital departments, funders, and community partners. The coordinator also supports grant and project development, implementation, compliance monitoring, audit readiness, and project closeout.

SPECIFIC ELEMENTS AND ESSENTIAL FUNCTIONS

  • Act as the grants and project coordinator for various public and private grants and awards, ensuring grant deliverables are met and is in compliance with the hospital's and funder expectations and contract terms. 
  • Coordinate implementation of grant activities with staff, collaborating partners while confirming assignment of responsibilities, grant expectations and timeline.
  • Act as a liaison with funders and collaborating partners to ensure appropriate flow of information for project and grant deliverables.  
  • Prepare and submit grant and project related reports, data, financial metrics and narratives as outlined in the applications. 
  • Review financial data with Finance and Operations to track grant related spending, vouchering and reimbursement. Prepare financial and programmatic reports and coordinate their review and authorized submission to funders. 
  • Assist Finance with budget preparation, revision and modification for new and active grants and projects as needed with direction from Operations.
  • Work closely with Operations, Finance and other departments to develop grant and project proposals and renewals.
  • Use electronic health records to generate minimum necessary demographic and performance data including other reports to support grant and project writing, reporting and evaluation in accordance with hospitals policies and procedures. 
  • Assist the Population Health department as the liaison between the Director and Program Coordinators to monitor expectations, progress and align day-to-day workflows with various grant and project deliverables. 
  • Assist in writing, proofreading, and editing written materials produced by the hospital or other grant writers.
  • Schedule meetings with stakeholders to launch project and grant deliverables as dictated in the application. 
  • Perform other related duties and projects as assigned.

Requirements

EDUCATION AND EXPERIENCE

  • Required: Bachelor’s degree in healthcare administration, human services, business administration, public administration, or a related field. In lieu of a bachelor’s degree, three to five years of relevant experience coordinating grants, projects, budgets, compliance requirements, funder reporting, or related administrative functions will be accepted.
  • Preferred: Experience in healthcare, human services, population health, or a grant-funded environment.

CERTIFICATIONS AND SKILLS

  • Strong written, editing, and verbal communication skills 
  • Advanced organizational and deadline-management skills 
  • Proficiency with Microsoft Excel, Word, Outlook, and shared document systems 
  • Ability to interpret grant agreements and reporting instructions 
  • Experience tracking budgets, invoices, vouchers, and performance measures 
  • Ability to coordinate multiple departments and external partners 
  • Attention to detail and maintenance of audit-ready records 
  • Knowledge of healthcare confidentiality and HIPAA requirements 
  • Experience with electronic grant portals and project-management systems 
  • Ability to analyze data and prepare concise reports for leadership and funders

Hours: Full Time, 36 hours per week.

Salary: $25.00 - $35.00 per hour based on experience and education.
