Job Description

The General Services Assistant plays a key role in the daily management of logistics and administrative operations within our private bank site of Geneva. This individual coordinates shipments, manages inventory, and supports the optimization of internal processes while ensuring a smooth working environment that meets the company's quality standards.

Main Responsibilities:Shipment and Logistics Management: 

  • Oversee and manage postal shipments (letters, parcels, express deliveries, etc.), both nationally and internationally, using platforms such as UPS Campuship, Swiss Post, etc.

  • Handle special shipments and related logistics (packaging, preparing shipments, tracking deliveries).

    Inventory and Procurement Management:

  • Order and manage consumables for various departments.

  • Monitor stock levels and coordinate with suppliers to ensure the continuous availability of necessary supplies.

    Maintenance and Facility Management: 

  • Monitor the condition of office spaces, identify maintenance needs, and coordinate with service providers to address issues promptly.

  • Take the initiative to maintain a pleasant and functional working environment.

    Administrative Support and Project Management: 

  • Coordinate and follow up on various projects in collaboration with service providers and internal teams.

  • Use tools such as Outlook, Excel, Word, PowerPoint to organize, plan, and track administrative tasks.

  • Contribute to the continuous improvement of internal processes and implement solutions while adhering to company procedures.

    Versatility and Internal Support:

  • Provide versatile support within the General Services team, including managing internal communication through tools like Microsoft Teams and Webex.

  • Act as a point of contact for internal logistics and workspace organization requests.

  • Job position is based in Geneva

Skills and experience

  • Degree in administration, logistics management, or equivalent.
  • Previous experience in a similar role (banking environment or a mid-sized company preferred).
  • Significant experience in a similar position within the private banking or wealth management sector, with a strong understanding of the nuances and complexities involved.
  • Comfortable with digital tools and collaboration platforms (Outlook, Excel, Teams, etc.)
  • Good knowledge of postal and logistics management platforms (UPS Campuship, Swiss Post).
  • Ability to quickly adapt to new tools and applications.
  • Autonomy, initiative, and the ability to manage priorities.
  • Excellent organizational skills and the ability to work under pressure while meeting deadlines.
  • Team spirit and excellent communication with various internal departments.
  • Ability to be flexible and take on various tasks within the General Services department.
  • Fluency in spoken English and good command of written English are required.
