As part of our continued international growth, we are excited to be opening a brand-new facility in Poland and are seeking an experienced and proactive General Office Manager to join us on this exciting journey.
The Role
This is a unique opportunity to be part of a new operation from the ground up. As General Office Manager, you will play a key role in supporting the day-to-day running of our Poland facility, overseeing administrative activities, coordinating HR and finance processes, and helping to create a professional, efficient, and welcoming workplace.
Working closely with colleagues across Europe and our global teams, you will have the opportunity to make a meaningful impact while contributing to the success and growth of our newest location.

Key Job Elements:
Office Administration
  • Manage the day-to-day administrative activities of the Poland facility.
  • Coordinate incoming and outgoing post, filing systems, document management, and record retention.
  • Maintain office supplies, consumables, and other non-stock items.
  • Manage visitors to the facility, ensuring sign-in procedures, identification checks, visitor badges, and host notifications are completed.
  • Arrange business travel, accommodation, transportation, and related logistics for employees and visitors.
  • Prepare business correspondence, reports, presentations, and other documentation as required.
  • Maintain accurate electronic and physical records in accordance with company requirements.
  • Provide administrative support to the European Manufacturing Operations Manager.
Human Resources
  • Support recruitment activities, including interview scheduling, candidate communications, and onboarding administration.
  • Prepare employment-related documentation and maintain employee files and records.
  • Coordinate onboarding activities for new employees.
  • Support training administration, including scheduling of internal and external training activities.
  • Assist with monthly and annual payroll activities in conjunction with EMEIA HR and external payroll providers.
  • Support the implementation and administration of HR policies and procedures in compliance with Polish employment legislation.
  • Assist with employee engagement, wellbeing, and sustainability initiatives.
  • Maintain confidentiality when handling employee and business information.
Finance Administration
  • Support accounts payable processes, including invoice processing and record management.
  • Process employee expense claims in accordance with company policies and local regulations.
  • Maintain petty cash records and supporting documentation.
  • Assist with financial administration and reporting activities as required.
  • Support finance process improvements and ensure accurate record keeping.
  • Liaise with the wider Finance team, external providers, and internal stakeholders as required.
General Responsibilities
  • Act as a positive representative of Kurt J. Lesker Company and promote a professional working environment.
  • Build effective working relationships with employees, managers, customers, and external partners.
  • Identify opportunities for process improvement and increased efficiency.
  • Ensure compliance with company policies, procedures, and applicable legislation.
  • Carry out other duties and responsibilities as reasonably assigned.

Qualifications
Required
  • 2-3 years' experience in an administrative, HR administration, finance administration, office management, or similar role.
  • Completed education or equivalent qualifications.
  • Must have experience with and be proficient in Microsoft Office Excel, Word, and Outlook
  • Experience working with confidential information
  • Strong computer skills with the ability to learn new software programs quickly
  • Strong interpersonal skills with high attention to detail
  • Fluent in English and Polish
  • Local travel may be required
Preferred
  • Associate degree in Business, Human Resources, or a related field
  • 1-3 years of experience working in Human Resources or Executive Administration

Skills Required
