Position Summary

The Front Office Receptionist/Administrative Assistant serves as the first point of contact for families, visitors, and staff. This position is responsible for creating a welcoming, professional environment while providing administrative support to the Director and ensuring the daily operations of the front office run smoothly.

Essential Responsibilities

Family & Visitor Relations

  • Welcome and greet families, children, and visitors with warmth and      professionalism.
  • Assist with the daily check-in and check-out process for children      and families.
  • Provide excellent customer service by answering questions and      directing inquiries appropriately.
  • Maintain confidentiality of children, families, and staff.

Attendance & Student Records

  • Maintain daily attendance rosters and verify children’s attendance.
  • Add new students to classroom rosters and attendance lists.
  • Update student information in the center’s computer systems and      online files.
  • Distribute updated classroom rosters to teachers as needed.
  • Ensure student records are accurate and current.

Administrative Support

  • Assist the Director with administrative tasks, paperwork, filing,      and data entry.
  • Prepare, organize, and maintain digital and physical files.
  • Make copies and prepare materials for administration
  • Answer phones, respond to emails, and relay messages professionally.
  • Help maintain office supplies and notify the Director when supplies      need replenishing.

Front Office Management

  • Keep the reception area clean, organized, and welcoming.
  • Maintain an orderly front desk and administrative workspace.
  • Support daily office operations while prioritizing front office      responsibilities.
  • Assist with special projects and other administrative duties as      assigned.

Closing Responsibilities

  • Assist with the end-of-day office procedures.
  • Help ensure all attendance records and paperwork are complete before      closing.
  • Support the Director in closing the center according to established      procedures when scheduled.

This is an hourly job with a starting range of $20 hr - $24 hr based off of experience and overall qualifications.

Requirements

Qualifications

  • High school diploma or equivalent required.
  • Previous receptionist or customer service experience preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Basic computer skills, including email and office software.
  • Ability to multitask in a fast-paced environment while maintaining a      friendly and professional demeanor.

Physical Requirements

  • Ability to sit, stand, walk, bend, and lift up to 25 pounds as      needed.
  • Ability to move throughout the center to support staff and families.

  • Work collaboratively as part of the administrative team.
  • Support the mission and values of the Early Education Center while      providing exceptional service to every family.

Physical Requirements:

This position also may require extended periods of sitting, standing, walking, and hand/eye coordination for keyboard data entry and viewing data on a computer monitor.
