Requirements
SPECIFIC RESPONSIBILITIES
- Administrative Case Management
- Attention to detail
- Customer Service focus
- Strong computer skills
- Organize work load, input charges into computer, answering telephone lines, and greet all patients.
- Work independently without constant supervision.
- Answer the telephone in a courteous, helpful manner (as defined in the telephone skills area).
SPECIFIC FUNCTIONS:
- Creating Weekly Patient Schedules that align with needed Plan of Care
- Creating Weekly Patient schedules that support the needed productivity of the clinic and therapists
- Creating Patient Charts
- Handle Referrals converting into New Patients
- Insurance and Work Comp authorizations
- Patient Follow-up
- Ensuring Initial Evaluations and Progress Notes are signed and posted
- Patient collections, collection balancing as per Financial Arrangement
- Strong decision-making skills with the ability to solve problems and drive results.
- Excellent interpersonal and communication skills, adapting effectively to diverse situations and stakeholders.
- Accountability for the efficient management of personnel, schedules, and organizational resources.
- Ability to build and maintain productive relationships with patients, staff, providers, and referral sources.
- Commitment to maintaining confidentiality and handling sensitive information with discretion.
- Success in a fast-paced healthcare environment while managing multiple priorities with professionalism and attention to detail.
QUALIFICATIONS:
High School diploma required.
Past Administrative experience in medical office desired.
PHYSICAL EFFORT
Must be capable of frequent to constant sedentary to light lifting, and infrequent moderate lifting. Must be able to walk and stand on an occasional basis. Must be able to sit on an constant basis. Must be able to kneel or stoop on an occasional basis. Must be able to communicate both verbally and in writing to provide clear understanding of findings and instructions to patients, families, and peers. Must be able to reach, use fingers, feel with the hands and arms on a frequent to constant basis. Must have good corrected color vision to allow visual inspection of clients and their work to make appropriate assessments and for the safety of themselves and others.
Skills Required

- Ability to create and manage weekly patient schedules aligned with plan of care
- Experience handling insurance and workers' comp authorizations
- Patient collections and financial arrangement balancing
- Maintain patient charts and ensure evaluations/progress notes are signed and posted
- Ability to handle referrals and convert into new patients
- Maintain confidentiality and handle sensitive information with discretion
- Ability to perform frequent sedentary work and occasional light to moderate lifting; sit/stand as needed
