Front Office Coordinator
Position Summary
The Front Office Coordinator serves as the first point of contact for patients and visitors, ensuring a positive patient experience while maintaining efficient front office operations. This position is responsible for patient check-in and check-out, scheduling appointments, insurance verification, referral coordination, and administrative support to providers and clinical staff.
Essential Duties and Responsibilities
Patient Reception and Registration
- Greet patients and visitors in a courteous and professional manner.
- Check patients in and out for appointments.
- Verify demographic and insurance information and update records as needed.
- Collect copayments, deductibles, and outstanding balances.
- Obtain required patient forms and signatures.
Scheduling and Communication
- Schedule, reschedule, and confirm patient appointments.
- Answer and direct incoming phone calls.
- Respond to patient inquiries and provide appropriate information.
- Coordinate patient messaging and communication through the electronic medical record (EMR) system.
Referral Coordination
- Process referrals to specialists, diagnostic facilities, and ancillary services.
- Obtain insurance authorizations and referrals when required.
- Communicate referral information to patients and receiving offices.
- Track referral status and ensure completion of ordered services.
- Maintain accurate referral documentation within the EMR.
Insurance and Administrative Support
- Verify insurance eligibility and benefits.
- Assist with prior authorizations and related documentation.
- Maintain patient confidentiality in accordance with HIPAA regulations.
- Scan, file, and manage patient records and correspondence.
- Perform other administrative duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Minimum of 1–2 years of medical office experience preferred.
- Knowledge of medical terminology, insurance plans, referrals, and authorizations.
- Experience with electronic medical records (EMR/EHR) systems. Eclinicalworks preferred.
- Strong organizational, communication, and customer service skills.
- Ability to multitask and work efficiently in a fast-paced environment.
Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Ability to use a computer, telephone, and standard office equipment.
- Ability to occasionally lift up to 20 pounds.
Work Environment
- Medical office/clinic setting.
- Frequent interaction with patients, providers, and healthcare staff.
Skills Required

- 1-2 years of medical office experience
- Knowledge of medical terminology, insurance plans, referrals, and authorizations
