Job Description

Your team

You will be joining an agile team of 7 members. Our purpose is to facilitate and improve the administrative and operational activities that take place in our organization and ensure a positive experience in relation with colleagues, partners, clients and suppliers.

Responsabilities

  • Streamline Communication: Represent the organization as the primary contact point for all stakeholders, ensuring smooth interactions and timely responses.
  • Efficient Query Resolution: Manage all incoming calls and correspondence, ensuring queries from employees and vendors are addressed swiftly and effectively.
  • Organizational Efficiency: Coordinate employee schedules and manage conference room bookings to ensure optimal resource allocation and reduced scheduling conflicts.
  • Cross-Departmental Collaboration: Collaborate with Finance, HR, and Accounting teams to manage contracts, employee benefits, and recruitment processes.
  • Enhance Positive Experience: Ensure high-quality customer service and support during events, helping create positive interactions for both internal and external stakeholders.
  • Office Management and Safety Compliance: Oversee office supply management, travel arrangements, and ensure compliance with health, safety, and security protocols.

Qualifications

  • Able to initiate and develop professional collaborations with members across the organization 

Willing to develop: German language skills
