We are looking for a friendly, organized and proactive Front of House / Administrative Assistant to ensure the Front of House and office operate smoothly and professionally.
This is a full-time, 100% on-site role that combines front desk service, office coordination, and administrative support in a global company environment.

What you'll do (position responsibilities)
- Manage the lobby and other common areas to ensure they are maintained to a high professional standard.
- Support the coordination of visits, meetings, conferences, and guest events.
- Provide reception and guest management services, including answering calls and booking conference rooms.
- Handle incoming and outgoing mail.
- Coordinate with vendors for events and office maintenance.
- Collect, organize, and maintain data for processing and electronic information systems.
- Order and manage office supplies, including stationery and kitchen items.
- Support financial administration tasks, including invoice management, and respond to queries from the Finance Department in Amsterdam.
- Identify and report safety hazards and support employee onboarding and offboarding processes.
- Collaborate effectively with a wider international team across multiple countries, supporting smooth communication and coordination.
- Provide basic support with a variety of systems and tools, and coordinate with IT support as needed.
- Perform additional administrative tasks as required.

Nice to have (preferred qualifications)
- Formal training or qualification in administration, secretarial studies or equivalent (e.g., Abitur, Fachabitur, commercial apprenticeship).
- Experience in hospitality, travel, facility services or a multinational corporate setting.
Practical details
- Location: Berlin - full time, 100% office-based.
- A navy-blue corporate uniform will be provided; a dress code applies for Front of House staff.
- Candidates must live in the Berlin area or be willing to relocate at their own expense. Relocation assistance is not provided.
