Position Summary

The Front Desk Receptionist serves as the first point of contact for members, guests, prospective members, and visitors, delivering exceptional hospitality while supporting the daily operations of the Club's reception area. This position provides outstanding customer service by greeting members, answering inquiries, directing calls, coordinating guest access, and assisting with membership and administrative functions.

Working collaboratively with departments throughout the Club, the Front Desk Receptionist ensures every interaction reflects the Club's commitment to professionalism, service excellence, and personalized hospitality.

Essential Responsibilities

Member & Guest Reception

  • Welcome members, guests, prospective members, and visitors with a warm, professional, and personalized greeting.
  • Serve as the primary point of contact for general Club inquiries.
  • Provide accurate information regarding Club amenities, dining, golf, racquet sports, fitness, spa services, social events, and Club policies.
  • Assist members with directions, event information, reservations, guest access, and general Club services.
  • Maintain a polished and welcoming reception area that reflects the Club's standards of excellence.

Telephone & Communication Services

  • Answer, screen, and direct incoming telephone calls professionally and efficiently.
  • Take and relay accurate messages to associates and departments.
  • Respond to member inquiries or direct requests to the appropriate department.
  • Monitor shared email accounts and assist with general correspondence.
  • Maintain effective communication with all Club departments to ensure accurate information is provided.

Administrative Support

  • Prepare correspondence, forms, reports, and administrative documents as assigned.
  • Process houseguest passes, visitor registrations, and access requests.
  • Maintain organized records and assist with document filing and data entry.
  • Support the Membership Department with administrative projects and member communications.
  • Assist with special projects and departmental initiatives.

Member Services

  • Assist members with reservations, event registrations, and general Club information.
  • Maintain current knowledge of Club events, operating hours, policies, and seasonal programming.
  • Coordinate with Membership regarding prospective member visits and orientations.
  • Provide exceptional service while maintaining confidentiality and professionalism.
  • Support service recovery efforts by resolving routine concerns and escalating complex issues when appropriate.

Club Collaboration

  • Collaborate with Membership, Marketing Communications, Food & Beverage, Golf, Racquets, Fitness, Spa & Salon, Catering & Club Events, Accounting, and other departments.
  • Communicate daily operational updates that may impact member inquiries.
  • Assist with Club-wide events, member functions, and special initiatives as needed.
  • Foster positive working relationships throughout the Club.
  • Perform additional duties and special projects as assigned.

Safety & Operational Standards

  • Follow Club policies, procedures, and confidentiality standards.
  • Maintain an organized, professional, and secure reception area.
  • Ensure visitor access procedures and guest registration policies are followed.
  • Report facility concerns, operational issues, or safety hazards promptly.
  • Promote a positive, professional environment for members, guests, and associates.

QualificationsQualifications
  • High School Diploma or GED required.
  • Minimum 1–2 years of receptionist, front desk, hospitality, customer service, or administrative experience preferred.
  • Private club, hotel, resort, or luxury hospitality experience preferred.
  • Proficiency with Microsoft Office Suite, multi-line telephone systems, and basic office equipment required.
  • Experience with Club management software preferred.
