💡 The Role

We’re looking for a Front Desk Operations Associate to be the front-of-house anchor for our Los Angeles office.

You’ll own the front desk, guest experience, mail intake, and day-to-day office execution — making sure employees, candidates, vendors, and visitors all feel supported the moment they walk in the door.

This is a fully on-site role that combines traditional reception duties with hands-on office and administrative support. If you’re organized, service-minded, and thrive in a fast-moving environment, this role puts you at the center of daily office life.

🎬 What You’ll Do

🔔 Front Desk & Guest Experience

  • Greet and check in guests, candidates, vendors, and clients with a warm, professional presence

  • Serve as the first point of contact for the LA office

  • Manage the reception inbox, phones, and visitor inquiries

  • Coordinate building access, badges, and visitor logs

  • Keep the reception area polished, organized, and guest-ready at all times

📬 Mail Intake & Physical Administration

  • Receive, log, sort, scan, and distribute incoming mail daily

  • Digitally route HR, legal, and finance correspondence

  • Support intake of government and compliance-related mail (EDD, leaves, etc.)

  • Schedule outgoing mail and courier pickups

  • Maintain clean, organized digital and physical records

Office & Kitchen Operations

  • Set up and maintain the morning coffee station

  • Restock kitchen supplies throughout the day

  • Track inventory and assist with ordering

  • Put away grocery deliveries and keep shared spaces organized

🤝 People & Admin Support

  • Prepare new-hire swag and onboarding materials

  • Support onboarding day logistics and interview scheduling as needed

  • Update slides or materials for All Hands meetings

  • Assist with Dropbox Sign and light administrative tasks

  • Coordinate employee milestone gifts (birthdays, new babies, etc.)

🏢 Facilities & Operations Support

  • Partner closely with Facilities & Operations on daily execution

  • Assist with vendors, deliveries, and service visits

  • Flag maintenance, safety, or facilities issues quickly

  • Help ensure meeting rooms and shared spaces are set up and ready

🧬 Who You Are

⭐ 0–2 years of experience in front desk, office admin, hospitality, or support roles

🗣️ Friendly, professional, and service-oriented communicator

🧠 Highly organized with strong attention to detail

⚡ Comfortable juggling multiple tasks in a busy office

⏰ Reliable, punctual, and proactive

💻 Comfortable with Google Workspace, Slack, phones, and basic office tech

📄 Experience with mail handling, scanning, or front desk tools is a plus
