Innovation At Work, Inc. is seeking a professional, dependable Front Desk/Data Entry Specialist to support the Military & Family Readiness Center at Hanscom Air Force Base. This full-time, on-site position serves as the first point of contact for visitors and callers while providing accurate data-entry, scheduling, and administrative support.

Key Responsibilities

• Answer incoming telephone calls, greet all visitors, determine the purpose of each call or visit, and direct clients to the appropriate M&FRC staff member.

• Explain routine M&FRC programs, services, procedures, classes, and workshops clearly and professionally.

• Schedule clients for M&FRC classes and Transition Assistance Program workshops.

• Enter required client, class, workshop, TAP, and resource information into AFFIRST and other authorized Department of Defense web-based systems.

• Send class reminder emails one week before the scheduled start date, or according to the timeline provided by program managers.

• Ensure clients complete required sign-in procedures and prepare a monthly client-usage/data-entry report by the established deadline.

• Complete assigned data-entry work with at least 85% accuracy within two business days.

• Maintain a professional front-desk area by organizing chairs, publications, materials, and resources; report inoperable equipment; and perform minimal tidying such as personal-trash removal, light dusting, and occasional vacuuming.

• Safeguard Government property, facilities, equipment, records, and sensitive information in accordance with established security and Privacy Act requirements.

• Complete required Air Force training, information-assurance training, and other mandatory training within established deadlines.

• Follow all site procedures and maintain appropriate business-casual attire while performing contract duties.

 Before starting:

  • Current résumé showing relevant experience 
  • Three professional references with names, titles, organizations, telephone numbers, and email addresses 
  • No personal references 
  • Documentation needed for the background investigation 
  • Fingerprinting documentation 
  • Identification and supporting documents required to obtain a Common Access Card (CAC) 
  • Installation-access documentation
Schedule and Work Location

• Full-time: 40 hours per week, Monday through Friday, during M&FRC operating hours.

• Workday begins between 7:30 a.m. and 8:00 a.m., based on the approved schedule.

• Thirty-minute lunch period must normally be taken between 11:00 a.m. and 1:00 p.m.

• No services are normally required on federal holidays.

• This is an in-person position at 10 Kirtland Street, Building 1240, Hanscom AFB, MA 01731

Requirements

  • Minimum of one year of customer-service experience in a professional customer-support or business environment.
  • Proficiency with Microsoft Windows and Microsoft Office applications, including Word, Excel, and PowerPoint; ability to apply and troubleshoot routine functions.
  • Strong data-entry skills and the ability to accurately enter lists, records, and other information into electronic and web-based systems.
  • Excellent verbal and written communication skills with a professional, courteous, and customer-focused manner.
  • Ability to use experience and sound judgment to organize work, meet deadlines, follow procedures, and accomplish assigned goals.
  • Ability to communicate and work effectively with military members, families, retirees, civilians, and other individuals from diverse backgrounds.
  • Basic understanding of military protocol, military support organizations, or family systems in a military environment is preferred.
  • Ability to maintain confidentiality and comply with the Privacy Act and all applicable information-security requirements.
  • Must be able to obtain and maintain installation and computer-system access, including a favorable background check, fingerprinting, required identification, and eligibility for a Common Access Card (CAC).
  • Must successfully complete required Information Assurance and security training.
  • Must provide a current resume and at least three professional references; personal references will not be accepted.
  • Must maintain appropriate business-casual attire and refrain from using personal devices while providing customer service at the front desk.
