What you'll do: Front Desk Administrative Assistant in the Support Services will...
We seek an experienced administrative professional who is organized and energetic, with superb interpersonal skills for our London office. The Front Desk Administrative Assistant coordinates and assists with all front desk operations.
Responsibilities:
- Front desk reception (answering phones, greeting visitors, handling incoming/outgoing mail/couriers and deliveries)
- Coordinate workspace reservations for visitors, as needed
- Prepare domestic travel logistics for visitors (hotels, airport transfer, etc.)
- Coordinate internal meetings/activities (i.e. scheduling and preparing conference rooms, catering, supply and material coordination, resetting rooms after meetings, etc.)
- Prepare and organize documents for client proposals and presentations as needed (contract tracking, printing, organizing and archiving meeting support materials)
- Address problems and troubleshoot with internal and external stakeholders
- Handle special projects with demanding deadlines
- Office and kitchen supply management (inventorying, ordering and stocking)
- Stock and maintain inventory of office, printer, and meeting room equipment/supplies
- Stock and maintain inventory of kitchen and pantry supplies
- Maintain meeting room facilities
- Set up/breakdown meetings and events
- Distribute mail and packages
- Perform various kitchen duties (eg. run/unload the dishwasher, wipe down kitchen, etc.), as needed
- Reset and stock team rooms, phone rooms, and conference
- Log building maintenance and ID card requests
- Conduct Health & Safety checks and document them accordingly
- Attend/renew First Aid & Fire Marshall trainings and coordinate for the team
- Submit/file invoices and provide finance support (invoices, petty cash, office card reconciliation, expenses payments reconciliation)
- Assist with office events and service initiatives
- Hours are 8:00 am - 4:30 pm, Monday - Friday.
Qualifications:
- A-level completion required; post-secondary education or Bachelor's degree preferred;
- Prior work experience as a Front Desk Administrative Assistant in a professional services environment;
- Prior customer service skill preferred;
- Computer fluency with MS Office (Word, PowerPoint, Excel and Outlook), SAP and Concur desirable;
- Strong oral and written communication skills;
- Professional appearance and demeanor with ability to exercise good judgment and discretion;
- Attention to detail, dependability/punctuality;
- Capable of working in a fast pace and demanding environment;
- Strong multi-tasking skills required;
- Proactive self-starter with ability to manage a wide variety of tasks and meet deadlines
