The Financial Controller is responsible for overseeing the organization’s day-to-day accounting operations, financial reporting, cash management, payroll, regulatory payments and month-end and year-end processes. This role ensures that financial transactions are processed accurately and on time while maintaining strong internal controls and reliable financial records.  The Financial Controller will work closely with senior management, external accountants and internal departments to support financial decision-making and ensure the organization meets its reporting and compliance obligations.

Key Responsibilities

Invoicing and Accounts Receivable

  • Manage daily invoicing for service tickets, sales orders and completed work.
  • Process monthly recurring agreement and contract invoices.
  • Prepare and distribute statements of account to customers.
  • Monitor and manage the Accounts Receivable mailbox.
  • Follow up on outstanding customer balances and oversee collection activities.
  • Process COD instructions, credit card charges, EFT payments and other approved payment methods.
  • Prepare and review accounts receivable aging and collection reports.
  • Investigate and resolve customer billing discrepancies.

Accounts Payable

  • Manage the Accounts Payable mailbox and vendor inquiries.
  • Review vendor invoices for completeness, accuracy and proper authorization.
  • Prepare vendor payments for review and approval.
  • Process payments to vendors and service providers.
  • Maintain accurate vendor records and payment documentation.
  • Prepare and review accounts payable aging reports.
  • Investigate and resolve vendor billing and payment discrepancies.

Payroll and Employee Expenses

  • Process payroll accurately and within established deadlines.
  • Complete payroll reconciliations and maintain supporting records.
  • Process employee expense reimbursements.
  • Review and approve credit card expenses through the company’s expense-management platform.
  • Ensure expenses are properly documented, authorized and allocated to the appropriate accounts.

Government Remittances and Tax Payments

  • Prepare and process HST remittances.
  • Prepare and process WSIB and Employer Health Tax payments.
  • Coordinate property tax payments.
  • Process corporate income tax instalments.
  • Maintain accurate records of government filings, remittances and payment deadlines.
  • Support compliance with applicable accounting, payroll and tax requirements.

Banking and Reconciliations

  • Review and clear daily bank and credit card feeds.
  • Complete monthly bank account and credit card reconciliations.
  • Investigate and resolve unreconciled or unusual transactions.
  • Prepare and post journal entries, including shareholder and intercompany transactions.
  • Maintain complete and accurate general ledger records.

Financial Reporting and Month-End

  • Review balance sheet accounts, income statement accounts and supporting schedules.
  • Prepare accruals, prepaid expenses, adjustments and other month-end journal entries.
  • Analyze financial results and identify significant variances, trends or concerns.
  • Provide management with accurate and timely financial information.
  • Develop and maintain appropriate accounting procedures and internal controls.

Year-End and External Engagements

  • Coordinate year-end accounting and audit or review engagements with external accountants.
  • Respond to questions and information requests from external accountants.
  • Assist with year-end adjusting entries and financial statement preparation.
  • Ensure accounting records are complete and ready for year-end reporting.

General Accounting Oversight

  • Oversee the accuracy and integrity of the organization’s accounting records.
  • Address accounting, reconciliation, billing and reporting issues.
  • Improve accounting processes, controls and documentation.
  • Ensure financial policies and approval procedures are consistently followed.

Qualifications

  • Bachelor’s degree or diploma in accounting, finance, business administration or a related field.
  • CPA designation, or progress toward completion, is preferred.
  • Minimum of five years of progressive accounting experience, including responsibility for month-end reporting and reconciliations.
  • Previous experience in a Financial Controller, Accounting Manager or Senior Accountant position is preferred.
  • Strong understanding of generally accepted accounting principles and financial controls.
  • Experience with accounts receivable, accounts payable, payroll, government remittances and financial reporting.
  • Proficiency with accounting software, Microsoft Excel and expense-management platforms.
  • Experience in a service-based, technology or recurring-revenue business is considered an asset.

Skills Required

  • Bachelor's degree or diploma in accounting, finance, business administration or related field.
  • CPA designation or progress toward completion
  • Minimum of five years of progressive accounting experience, including month-end reporting and reconciliations.
  • Previous experience in a Financial Controller, Accounting Manager or Senior Accountant role
  • Strong understanding of generally accepted accounting principles (GAAP) and financial controls.
