Job Purpose

The Finance & Operations Manager will oversee the company’s day-to-day financial and operational activities, ensuring accurate financial records, effective cash flow management, timely reconciliations, statutory compliance, payroll processing, collections, purchasing coordination, and smooth execution of sales and operational activities.

Key Responsibilities

Finance & Accounting

  • Manage daily petty cash, payment vouchers, and accounting data entry.
  • Prepare sales invoices and follow up on outstanding customer payments and collections.
  • Post purchase invoices and payments and maintain accurate accounting records.
  • Prepare and maintain ledger accounts.
  • Conduct bank, sales, and purchase reconciliations and follow up on outstanding balances.
  • Monitor customer collections and supplier payments.
  • Prepare monthly accounting and financial statements.
  • Prepare costing sheets for imported goods and local purchases.

Tax & Payroll

  • Prepare monthly payroll and ensure timely statutory submissions, including:
    • PAYE
    • SDL
    • WCF
    • NHIF
  • Prepare and submit VAT returns and payments, and other applicable taxes.
  • Ensure financial and statutory records are maintained accurately and submitted within required timelines.

Operations Coordination

  • Coordinate closely with the Sales and Operations teams to follow up on sales orders and deliveries.
  • Monitor outstanding sales orders and ensure proper communication between departments.
  • Support purchasing and supplier payment processes.
  • Monitor the financial aspects of local purchases and imported goods.
  • Ensure operational activities are properly documented and financially accounted for.

Staff Management

  • Supervise and coordinate finance and operations-related staff.
  • Allocate responsibilities and monitor staff performance.
  • Ensure daily and monthly activities are completed accurately and on time.
  • Promote accountability, efficiency, and teamwork across the function.

Key Skills & Competencies

  • Strong accounting and financial management skills
  • Bank, sales, and supplier reconciliation experience
  • Knowledge of PAYE, SDL, WCF, NHIF, VAT and other statutory requirements
  • Payroll processing experience
  • Customer collections and payment follow-up
  • Purchasing and costing experience
  • Strong attention to detail and numerical accuracy
  • Good organizational and time-management skills
  • Strong communication and coordination skills
  • Ability to manage and supervise staff
  • Ability to work independently and meet deadlines
  • Strong understanding of day-to-day business operations

  • Timely bank, sales, and purchase reconciliations

Requirements
bachelor’s degree would be appropriate, preferably in Business Administration, Accounting/Finance, or Engineering and mechanical

Skills Required

  • Bachelor's degree, preferably in Business Administration, Accounting, Finance, or Mechanical Engineering
  • Strong accounting and financial management skills
  • Experience with bank, sales, and supplier reconciliations
  • Knowledge of PAYE, SDL, WCF, NHIF, VAT, and other statutory requirements
  • Payroll processing experience
  • Customer collections and payment follow-up experience
  • Purchasing and costing experience
  • Ability to manage and supervise staff
