Dogs Inc is seeking a detail-oriented Administrative Coordinator to provide entry-level administrative support to our Finance and Human Resources team. This position is ideal for someone with strong customer service and organizational skills who is interested in gaining experience in nonprofit administration, finance, donor services, and human resources. Previous experience in all of these areas is not required—we are looking for someone dependable, eager to learn, and comfortable working with detailed information.
Essential Duties and Responsibilities:
- Assist the Donor Relations Specialist with data entry.
- Respond promptly to donor phone calls and emails.
- Support the timely processing of donor acknowledgment letters.
- Ensure proper acknowledgment of tribute gifts.
- Create new donor records and update existing records as needed.
- Process daily Gift Shop payments and provide support to gift shop volunteers as needed.
- Process Vet Center invoice payments and assist with student preventative purchases.
- Prepare and distribute the weekly major gift email.
- Prepare the weekly cash deposit and file related documentation.
- Research and resolve issues related to returned mail.
- Assist with onsite donations during special events, as needed.
- Maintenance of electronic team member files.
- Responsible for maintaining adequate inventory and delivering branded apparel and name badges for new team members and facilitating replacement apparel to existing team members.
- Assist with monthly employee benefit reconciliations by comparing vendor invoices, payroll deductions, and enrollment records; training will be provided.
- Special projects as assigned.
- High school diploma or GED required; one year of administrative, customer service, data-entry, or related experience preferred.
- Comfortable learning new systems and working with detailed records and financial information.
- Working knowledge of Microsoft Outlook, Excel, and Word.
- Strong customer service, communication, organization, and follow-through.
- Ability to maintain confidentiality and handle sensitive employee and donor information.
- Nonprofit, finance, human resources, or donor-services experience is helpful but not required.
Responsibility for Money:
This job is responsible for handling monetary donations (cash, check, credit card, Pay Pal) gift shop money, petty cash, mailing checks to vendors and putting incoming checks in a secure area, as well as verifying cash for deposits. This job is responsible for property such as computers, printer, calculator, phone, laptop computers and building keys.
Physical Demands:
- Ability to sit for extended periods throughout the workday, with occasional walking and light lifting of up to 25 pounds.
- Occasional exposure to outdoor weather conditions as job duties require.
- Requires manual dexterity, mobility, and the ability to perform tasks involving close visual attention.
- Work is performed in an office environment with moderate noise levels.
