The Facilities Coordinator serves as the day-to-day operational point of contact for the Boise office, ensuring a safe, well-maintained, and welcoming workplace. This role combines hands-on maintenance, employee move coordination, and front-of-house hospitality to keep the office running smoothly, working under the guidance of the Facilities Manager and coordinating with vendors and building management as needed. 

This role will be onsite in our Boise office 5x a week (Monday-Friday). You will be responsible for coordinating employee floor moves and space changes, performing basic hands-on repairs and installs, maintaining the facilities work order queue, and providing primary reception coverage for visitors and staff. 

Essential Duties & Responsibilities:

  • Coordinate and execute employee moves between floors, including scheduling, communication with impacted employees/teams, IT/vendor coordination, and post-move walkthroughs 

  • Manage day-to-day space planning requests, seating charts, and floor plan updates 

  • Perform basic on-site repairs, installs, and preventive upkeep — mounting TVs/monitors, hanging shelves/whiteboards, furniture assembly and minor repair, and general use of hand and power tools (drill, level, stud finder) — triaging issues and escalating to a vendor/technician when work exceeds basic scope 

  • Create, assign, and track work orders in the facilities ticketing/CMMS system; follow up with vendors and internal stakeholders to ensure timely closure 

  • Serve as primary reception coverage: greet visitors, manage guest badging/access, handle incoming calls and deliveries, and maintain a professional, hospitality-driven front-of-office experience 

  • Conduct routine facility walkthroughs/inspections and report findings, safety concerns, or maintenance needs 

  • Coordinate with building management, landlord, and third-party vendors on maintenance, repairs, and service requests beyond basic scope 

  • Maintain accurate records of completed work, vendor visits, and facility-related documentation 

  • Follow all health, safety, and environmental (HSE) policies and procedures; report any condition that could result in injury or property damage 

  • Provide backup support for the Security & ESG Liaison Coordinator's duties (security walkthroughs, ESG data collection) as needed 

Qualifications: 

  • High school diploma or equivalent required; associate's degree in facilities management or related field a plus 

  • 2+ years of experience in facilities coordination, maintenance, office/workplace operations, or a customer-facing administrative role 

  • Working knowledge of basic hand and power tools and comfort performing simple repairs/installs without requiring a vendor for every small task 

  • Proficiency with Microsoft Office (Outlook, Excel, Word, SharePoint) and comfort learning a work order/ticketing system (CMMS) 

  • Strong communication and interpersonal skills; comfortable serving as the "face" of the office for employees, visitors, and vendors 

  • Strong organizational skills with the ability to manage multiple concurrent requests and shifting priorities 

Physical Requirements:

  • Ability to lift and carry up to 55 lbs (furniture, equipment, moving boxes) 

  • Ability to stand, walk, bend, kneel, and climb stairs/step-ladders as needed to perform repairs, installs, and move-related tasks 

Skills Required

  • High school diploma or equivalent
  • 2+ years of experience in facilities coordination, maintenance, office or workplace operations, or customer-facing administration
  • Working knowledge of basic hand and power tools
  • Ability to perform simple repairs and installations independently
  • Proficiency with Microsoft Office, including Outlook, Excel, Word, and SharePoint
