Export Manager and Logistics Coordinator 

Location:Phoenix, AZ

Job Summary:

We are seeking an experienced and highly organized Export Manager & Logistics Coordinator to oversee all aspects of international export operations, order fulfillment, tracking, and logistics management. This role is critical in ensuring the seamless flow of goods from order processing to final delivery, ensuring compliance with international trade regulations, optimizing logistical processes, and maintaining strong relationships with suppliers, clients, and shipping companies. Familiarity with ITAR regulations and compliance is essential for this position.

Key Responsibilities:

Export Management:

· Manage the complete export process, including documentation, compliance with trade regulations, and communication with international clients and customs authorities.

· Ensure compliance with international export laws, including the International Traffic in Arms Regulations (ITAR), Export Administration Regulations (EAR), and obtain necessary licenses, permits, and certificates.

· Coordinate with suppliers and vendors to ensure products meet export quality standards and are shipped on time.

· Prepare and verify export documentation (e.g., invoices, bills of lading, certificates of origin, packing lists).

· Manage the proper declarations for product and R&D shipments to minimize tariff and export duty payments while maintaining compliance with all regulations.

Order Fulfillment:

· Oversee the entire order fulfillment process, ensuring accurate and timely processing of orders from receipt to shipment.

· Collaborate with the sales and production teams to ensure customer orders are fulfilled to their satisfaction.

· Coordinate the picking, packing, and shipping of orders, ensuring proper labeling and documentation for international shipments.

· Maintain accurate records of orders, inventory levels, and shipment status in ERP or related systems.

Logistics Coordination:

· Plan and execute logistics strategies for efficient transportation and distribution of goods globally.

· Negotiate and coordinate with freight forwarders, carriers, and customs brokers to secure competitive rates and service agreements.

· Monitor the movement of goods throughout the supply chain, including inbound and outbound shipments.

· Optimize transportation routes and manage logistics costs while ensuring timely deliveries.

· Address any logistics issues, including delays, damages, or customs clearance problems, to minimize disruption to operations.

Tracking and Reporting:

· Track and monitor all shipments, providing timely updates to customers and internal stakeholders on order status.

· Ensure that tracking systems are up to date with accurate shipment data and status reports.

· Generate reports on order fulfillment performance, shipping costs, and other relevant KPIs to management.

· Compliance with EAR Regulations:

· Ensure all exports comply with EAR regulations, including the proper classification and licensing of controlled items.

· Maintain up-to-date knowledge of EAR compliance requirements and implement appropriate processes and controls.

· Compliance with ITAR Regulations:

· Ensure all exports comply with ITAR regulations, including the proper classification and licensing of controlled items.

· Maintain up-to-date knowledge of ITAR compliance requirements and implement appropriate processes and controls.

· Liaise with internal and external compliance teams to ensure that export activities adhere to regulatory standards.

Customer Relationship Management:

· Serve as the main point of contact for clients, addressing any concerns or questions related to exports, shipping, and delivery.

· Maintain strong communication with clients regarding order status, shipping timelines, and any potential issues.

· Build and maintain strong relationships with logistics providers, ensuring smooth collaboration and timely delivery of goods.

· Continuous Improvement:

· Continuously analyze and improve export processes, logistics operations, and order fulfillment practices to enhance efficiency and reduce costs.

· Stay updated with industry trends, new regulations (including ITAR), and best practices in international trade and logistics.

Qualifications:

· Bachelor's degree in Supply Chain Management, Logistics, International Business, or a related field.

· 5+ years of experience in export management, logistics, and order fulfillment, preferably in an international environment.

· In-depth knowledge of export documentation, customs regulations, international trade laws, and ITAR compliance.

· Strong understanding of logistics processes, including transportation, warehousing, and inventory management.

· Experience with ERP systems, order tracking software, and supply chain management tools.

· Excellent negotiation, communication, and problem-solving skills.

· Ability to manage multiple tasks in a fast-paced environment and work under pressure to meet deadlines.

· Detail-oriented with strong organizational and analytical skills.

Preferred Skills:

· Experience working with freight forwarders and customs brokers.

· Familiarity with Incoterms and international shipping practices.

· Proficiency in Microsoft Office (Excel, Word, PowerPoint) and logistics management software.
