Expo Manager, Live Events
PURPOSE:
Facilitate the planning and successful execution of assigned in-person or hybrid exhibit halls and sponsorship deliverables. ("Successful" is defined as: within budget and on time, to the satisfaction of sponsors, stakeholders, and participants while enhancing and supporting the company image.)
PRIMARY QUALITIES:
Strong background in all facets of event and conference planning including venue and site selection in large conference hotels or convention centers; meeting specifications and selections including audio visual, food and beverage, room sets, registration, temporary staffing, security, EMT, internet, and power; ability to provide direction on conference branding; sponsorship tactic execution, and overall logistical planning team lead. Knowledgeable with CME/CE procedures and working closely with major medical associations. Detail-oriented, dependable, computer literate, and ability to meet deadlines.
JOB DESCRIPTION & RESPONSIBILITIES
- Successfully execute the exhibit and sponsorship of assigned programs ranging in size from tabletop exhibits to large scale tradeshows
- Total oversight for all facets of assigned events/conferences
- Contribute to venue and site selection in hotels or convention centers
- Contribute to the budget creation/reconciliation of program budgets, monthly forecasts, and directly responsible for implementation of each
- Responsible for general service contractor negotiation, contract execution, and managing on-site operations
- Design and develop all exhibit hall floor plans, registration areas, and feature areas, and produce in compliance with safety/facility requirements
- Handle all tradeshow logistics and oversee decorator to ensure proper setup
- Coordinate all freight shipments, onsite distribution, and labor requirements
- Create exhibitor service kit and all other necessary exhibitor guidance
- Develop and maintain communications with exhibitors to ensure that needs are met and that problems are solved
- Build the CVENT exhibitor portal where exhibitors can register booth staff, provide company profile, and arrange lead capture
- Work with sales teams to develop sales strategies and sales packages for Exhibitors and sponsors
- Maintain contracted client interaction to accelerate conference participation
- Facilitate onsite exhibitor re-book operations, including Expocad usage
- Oversee all tracking for booth and sponsorship sales, includes using Salesforce and Workfront
- Research proposed show/conference sites; gather information regarding rates, accessibility, meeting rooms, exhibit needs, transportation, catering, and miscellaneous services
- Supervise the production and positioning of all expo and sponsorship signage
- Manage onsite activities with facilities such as exhibit hall audiovisual needs, review and comply with facility contracts, security, and medical personnel
- Participate in and/or lead program-specific teams though overall event management process.
- Ensure a detailed schedule of all essential activities and deadlines are maintained following assignment meeting.
- Work with and supervise contracted vendors in conjunction with Program Managers, Associate Program Managers and Program Coordinator to optimize the execution of their services.
- Liaise with internal team and business development staff for smooth transition of contacts/agreements/expectations with supporters.
- Onsite management of all phases of assigned live meetings and events.
- Additional projects and activities as assigned.
- Development of meeting-related processes as requested.
IN-HOUSE/MISCELLANEOUS DUTIES
- Attend departmental/company meetings
- Attend site visits as needed
- Participate in on-going training and development
Requirements
REQUIRED QUALIFICATIONS:
- Ability to manage a variety of in-person and hybrid event programs including one to multiple day conferences
- Experienced in all aspects of meeting planning including contracting, venue/logistics/housing management, transportation, audio visual, food and beverage, shipping and on-site execution management
- Extensive interfacing with HCPs
- Hyper-focused on the “attendee experience” and related outcomes
- Experience with budget development and reconciliation process
- Organized, creative, and efficient
- Strong customer service orientation and ability to act diplomatically
- Excellent oral and written communication skills
- Proven ability to work under deadline pressure, both independently and as part of a team
- Strict attention to detail
- Excellent problem-solving skills with proactive approach to things
- Ability to develop and implement processes
- Ability to travel/work during the week and on weekends (up to 25%)
- Proficient with Microsoft Word, PowerPoint, Excel and Outlook
- Proficient with ExpoCad and Cvent
- Minimum education: Bachelor’s Degree
- Able to manage programs within the parameters associated health care compliance requirements
