We’re looking for an Executive & Team Assistant who will ensure flawless organization of business trips, conference visits, offsites and strategic sessions — creating the conditions for effective work and focus for our team.
You’ll become a trusted partner for top management, taking care of all operational details so they can fully concentrate on OBRIO’s strategic goals.
What you’ll do:
- Coordinate business trips, strategic sessions and meetings for C-level (schedules, logistics, bookings, documentation, offsites etc.);
- Help C-level with various work-related and personal tasks;
- Organize strategic sessions and offsites for the leadership team;
- Organize business trips and conference visits for the OBRIO team (handle end-to-end logistics: flights, hotels, transfers, visas and coordinating all logistics);
- Manage unforeseen travel issues both for top management and employees (flight cancellations, changes, emergencies);
- Plan and coordinate travel-related tasks for the team events (Q big events, team buildings, hackathons, offsites
What we expect:
Experience
- 2+ years of experience as an Executive Assistant or in a similar role.
Hard Skills
- Experience in organizing complex business trips and/or events (bookings, visas, transfers);
- Confident user of Google Workspace (Calendar, Docs, Sheets);
- English — Upper-Intermediate+ (both written and spoken).
Soft Skills
- Highly organized and detail-oriented; able to manage multiple tasks simultaneously;
- Excellent communication across all levels;
- Reliable and responsible: you take full ownership of your tasks;
- Discreet and ethical when handling confidential information;
- Proactive: you anticipate needs before they’re voiced;
- Driven by excellence and focused on creating an exceptional experience for others.
