Job Purpose:

The Operations Support Officer/Executive is responsible for managing administrative and financial processes across multiple preschool centres, ensuring smooth operations and support relating to children's fees, records, subsidies, as well as general administrative, and HR/operational support across various processes. This role requires attention to detail, organizational skills, and the ability to liaise with Centre leaders, and other stakeholders effectively.


Key Responsibilities:


·                Maintain and update children’s files, ensuring all records and documents are properly filed and scanned into the Little Lives system.

·                Ensure new enrolment documents are submitted and processed in the system promptly.

·                Monitor and update children's enrolment and withdrawal records.

·                Travel to centres on a bi-monthly basis to ensure children's documents are up to date and assist with record updates.

·                Handle any administrative tasks and support Centre Leaders relating to children's records and assist in audits, including POP and CDA audits.

·                CPD hours uploading and tracking on ONE@ECDA and review

·                Ensure ONE@ECDA teachers records are updated

·                Support Quality Portal tracking and management of data

·                Perform any other administrative tasks as required and assigned



Key Skills and Qualifications:


·                Previous experience in an administrative, financial or training support role, preferably within an educational or preschool setting.

·                Proficiency in using the Little Lives system, Microsoft Office software (eg. Excel, Word, etc) and other administrative software (e.g., Teams).

·                Strong attention to detail, particularly in financial reconciliation and record-keeping.

·                Excellent communication skills, both written and verbal, with the ability to liaise with Finance, Centre leaders and the various stakeholders

·                Ability to handle sensitive information, maintain confidentiality and act with integrity.

·                Strong organizational and prioritisation skills with the ability to manage multiple tasks and deadlines

·                Proactive, flexible, and capable of working independently and as part of a team

Desired start date: 06 August 2026

Skills Required

  • Previous experience in an administrative, financial, or training support role
  • Experience within an educational or preschool setting
  • Proficiency with the Little Lives system
  • Proficiency with Microsoft Office (Excel, Word)
  • Familiarity with Microsoft Teams and other administrative software
  • Experience uploading and tracking CPD hours on ONE@ECDA
  • Experience updating teacher records on ONE@ECDA
  • Experience supporting Quality Portal tracking and management of data
  • Strong attention to detail, especially for financial reconciliation and record-keeping
  • Excellent written and verbal communication skills for stakeholder liaison
  • Ability to handle sensitive information, maintain confidentiality and act with integrity
