We are seeking an Executive Operations Coordinator to join our US Culture and Social Impact team. This is a hybrid position that can be based out of our following locations Atlanta, GA or Tampa, FL.

This position will support our US Culture & Social Impact Office. The position will provide program management and administrative support and coordination to senior executive(s). Incumbent holds a position of responsibility, which may include data compilation, analysis and presentation of special reports, and the tracking of projects and budgets. Plays proactive role in ensuring that program budget, goals and deadlines are met by monitoring progress and keeping manager well informed with up-to-date reports, graphs and other decision-making tools as requested.

How will you contribute to the team?

  • Provides administrative support and activity coordination to senior leader(s), acting as their contact/liaison and assisting with various functions.
  • Provides administrative support by composing memos, letters and other documents for C+SI Executive and other senior leader(s). Maintains executives' calendars, scheduling and coordinating appointments, periodic meetings, conferences and travel arrangements.
  • May prepare annual budget/reports for executive(s). Compiles annual overviews of program/budgets with comparative overviews of performance for use by executive(s) as assigned.
  • May perform special assignments which may include data/financial analysis, coordination of marketing activities, assistance with publications or marketing materials, maintaining databases, and/or coordinating events/training.
  • Develop visual assets, charts and graphs based on sensitive organizational data, and updates them as needed for meetings, monthly reports, or presentations for upper management or others.
  • May coordinate and attend meetings and prepare meeting minutes.
  • Perform such other duties as the supervisor may from time to time deem necessary.

How will you contribute to the team?

  • Bachelor’s degree plus a minimum of ten years of progressive, responsible experience in administrative work and/or program support dealing with massive data that is sensitive in nature.
  • A degree in business administration, company experience, industry experience or experience supporting senior executives are a plus.
  • Without a degree, a minimum of fifteen years' experience in progressively responsible administrative and program coordination work is required.
  • Job requires excellent interpersonal and organizational skills, tact, sense of urgency, and attention to detail. Knowledge of business administration practices and principles.
  • Aptitude for maintaining a professional attitude and attention to detail while working autonomously and within a team environment. People skills are a must in this employee engagement role.
  • Excellent technical writing and verbal communication skills with clients and colleagues.
  • Strong organizational, task and time management, deductive reasoning, and analytical skills.
  • Proficiency with the MS Office suite software. Experience with Canva and Microsoft Power BI a plus.
