 Primary PurposeThe Executive Director provides leadership and oversight of the operations and is responsible for executing the strategic direction established by both the RCY and Club Boards. This role ensures alignment across operations, finance, membership, communications, and committees to advance the Club’s mission and vision.Reporting Relationship & Span of ControlThe Executive Director is accountable to the RCY and YRF Boards of Directors and the Presidents of both organizations. The Executive Director is also responsible for overseeing the work of all staff and contractors.
 
Work Schedule & Environment Expectations
  • Regular attendance at weekly club meetings and key committee meetings is expected.
  • Participation in evening or occasional weekend events as required.
  • Schedule flexibility required to support member engagement and Club activities.
Job Duties and Responsibilities:Provides operational support to Board and committee leadership, including assuming responsibility for select projects or tasks as needed to ensure continuity and execution.
  • Exercises independent judgment in managing day-to-day operations, while aligning with Board direction on strategic and policy decisions.
  • Responsible for all operational functions as required by Rotary International, the RCY Board of Directors and President, and the YRF Board of Directors and President.
  • Maintains all required records in conjunction with The Rotary Foundation program and the York Rotary Foundation.
  • Under strategic direction and in partnership with the Board, executes key activities and demonstrates organizational leadership in support of the organization’s efforts in overall operations, finance and fundraising, marketing and communications, committee oversight, membership development, and any efforts deemed critical and necessary for action by the Boards.
  • Serves as the primary driver of the Club’s strategic plan, ensuring alignment between Board direction and day-to-day execution across all areas of the organization.
  • Works in tandem with the Boards and Executive Committees providing regular communication and preparation of Board Agendas, requested reports and the minutes for distribution.
  • Oversees the coordination of all arrangements for weekly club meetings and supports weekly guest speakers in conjunction with RCY Program Committee.
  • Supervises all staff and contractors.
  • Build a positive relationship with District 7390 colleagues.
  • Establish relationships with Executive Director colleagues of other large clubs to expand knowledge, learn best practices and create networks for shared learning.
  • Attend and participate in annual Large Club Conference (this requires three to four days of travel annually).
  • Advance full utilization of our Club’s membership management system to manage membership growth and retention, improve public relations, boost communications and automate administrative functions to advance our goals and make a positive impact.
Membership Growth, Retention & Engagement: 
  • In partnership with the Membership Recruitment Committee and Membership Engagement Committee:
    • Supports recruitment, onboarding, and engagement strategies to create a vibrant, engaged, and diverse membership.
    • Partners with committees to improve retention and participation.
    • Develop pipelines through community and business relationships.
 
  • Record and maintain all membership records, including new members, terminations and all changes to the membership of the Club.
Stewardship of Club Finances:Supports the Board in making sound fiscal decisions.
  • Oversees budget allocation and resource utilization in conjunction with RCY Financial Vice President, YRF Secretary-Treasurer, Executive Committees, third-party providers and committees to establish annual operational and charitable budgets.
  • Monitors, understands and clearly reports the status of the operational and charitable finances to the Boards of the Club and Foundation.
  • Oversees the management of all club financial recordkeeping in a timely and accurate fashion, performing all necessary reconciliations of key accounts as designated by importance by the RCY Financial Vice President and YRF Secretary/Treasurer.
  • Oversee the preparation of all required financial statements subject to audit or review, as necessary.
  • Collaborate with committees to increase funding to support Club expenses.
 Relationship with Committees:Oversee and support committees in their execution of Committee Action Plans in support of Strategic Plan goals.
  • Function as a liaison between committees to help ensure committee collaboration.
  • Collaborate with Committee Chairs and incoming Presidents to develop committee leadership succession plans.
Marketing and Communications:
  • Promote the Club internally and externally utilizing electronic communications tools and the Club’s Communications Committee
  • Seeks opportunities to increase awareness of the organization in the York community.
  • Represents the Rotary Club of York at key external community events and meetings.
  • Increase member and community awareness and understanding of the Club’s mission:
    • Utilize Club meetings and social media to celebrate committee accomplishments in meeting our mission.
    • Collaborate with Communications Committee on distribution of annual report.
    • Collaborate    with     Communications    Committee    on    implementing annual Communications & Marketing Plan and review quantifiable data.
    • Collaborate with Communications Committee to connect Club programs and activities with Rotary International and District 7390.
Performance Expectations:Performance will be evaluated based on progress in the following areas:
  • Membership growth, retention, and engagement trends
  • Financial stewardship and budget adherence
 
  • Execution of strategic plan priorities
  • Effectiveness of Board and committee support
  • Quality and consistency of communications and operations
Qualifications and Requirements:
  • Bachelor’s Degree in applicable field or equivalency of experience in a leadership role within a nonprofit organization.
  • Minimum of 3 years of experience dedicated to nonprofit service.
  • Prior experience managing financial records with a key understanding of finances in the nonprofit sector.
  • Technical skills commensurate with management and oversight including MS Office Suite, QuickBooks, database management, and social media.
  • Proven history in utilizing technology to gain efficiency and ensure accuracy of data.
  • Passion for Rotary Club of York, its mission, and for serving the community.
  • Goal oriented, self-starter with an entrepreneurial approach to leading the Club.
  • Servant-based leader, cognizant and empathetic to the volunteer status of members with an innate ability to be respectful of all members as equal stakeholders in the organization.
  • Self-awareness as a foundation for personal and professional growth and effective relationships with others.

  • Salary is commiserate with experience and will be based on employee's qualifications and experience for the role.
