Compensation: In accordance with California law, the expected salary range for this position is posted with this position. The actual compensation will be determined based on experience and other factors permitted by law.
Role Summary: The Executive Office Coordinator provides essential administrative and operational support to the Executive Assistant to the CEO and the Executive Team. This position reports to the Executive Assistant to the CEO and provides administrative and operational support to the Executive Office. This role is responsible for coordinating Executive Office processes, supporting meeting logistics, maintaining administrative systems, and assisting with document preparation and organization.

- Location: St. Anne’s Family Services, 155 N. Occidental Blvd, Los Angeles, CA 90026
Duties and Responsibilities:
- Provide administrative support to Executive Team members (CFO, CPO, CAO, CDO and CEO), including scheduling and logistics.
- Assist with administrative, coordination, and operational tasks, and collaborate closely to maintain alignment, coverage, and effective workflow across the Executive Office.
- Coordinate closely with the Executive Assistant to ensure continuity, effective communication, and alignment of priorities across the Executive Office.
- Prepare, organize, and distribute agendas, meeting materials, presentations, and follow‑up notes for Executive Team, Senior Leadership meetings and board/committee-related activities.
- Handle procurement-related tasks including requisitions, purchase orders, credit card coding, and coordination with departments in accordance with agency policies.
- Provide support with tracking expenses, preparing documentation, and submitting invoices and expense reports for Executive Team members.
- Assist with routine administrative and general office tasks, including office supply management, data entry, document formatting, copying, scanning, and record keeping.
- Help coordinate travel arrangements and related logistics under guidance from the Executive Assistant.
Qualifications:
- A minimum of a High School Diploma or equivalent required; Bachelor's degree preferred
- 2+ years of general administrative or office support experience required
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and/or Google Workspace
