ABOUT THE ROLE

The Executive Business Partner is the CEO’s right hand for everything administrative, and a trusted point of contact for the Board, the Executive Leadership Team (ELT), and the Senior Leadership Team (SLT). The role combines high-level executive support with leadership of office operations. You will keep the leadership team’s operating rhythm running smoothly and make sure our offices give people what they need to do their best work.

Your first priority is the CEO: protecting their time, anticipating their needs, and keeping things moving. You are also the steward of how leadership meets, communicates, and shows up for the wider company.

Location & Travel: This role is based in Waltham, MA, and requires on-site presence two days per week. Candidates must live within a reasonable commuting distance of the office (approximately 45 minutes or less) or be willing to relocate. Periodic travel to Burlington, Montreal, and other offices or events is also required. Candidates must be able and willing to travel internationally, including across the US–Canada border.

What You’ll Do

Support the CEO

  • Manage the CEO’s calendar, priorities, travel, expenses, and correspondence, with sound judgment on what needs attention and what doesn’t.
  • Prepare the CEO for meetings with briefing materials, follow-ups, and tracking of commitments.
  • Handle sensitive and confidential matters with complete discretion.
  • Anticipate needs and resolve issues before they reach the CEO.

Serve as Board Liaison

  • Coordinate Board and committee scheduling, logistics, and meeting preparation.
  • Manage Board materials, communications, and follow-up actions.
  • Represent the CEO and the company professionally in all Board interactions.

Run the Leadership Operating Cadence

  • Own the scheduling and rhythm of ELT and SLT meetings, offsites, and planning cycles.
  • Help ensure meetings run effectively: agendas, pre-reads, timekeeping, notes, and action tracking.
  • Follow up to keep decisions and commitments moving.

Partner on Internal Communications and Events

  • Partner with Marketing to plan and deliver internal town halls and all-hands meetings.
  • Plan and oversee internal events across the offices, from team gatherings to leadership events.

Manage Offices and Facilities

  • Serve as office manager.
  • Oversee facilities management for the US offices: vendors, leases and landlord relationships, space, equipment, supplies, and safety.
  • Make sure every office has what it needs to operate well.

Lead Administration Globally

  • Provide direction and guidance to administrative staff in other geographies.
  • Establish consistent practices, standards, and support across regions.
  • Manage and develop administrative team members.

Why This Role

You will work directly with the CEO and leadership team at a pivotal level of the company. Your work shapes how leadership operates and how people experience our offices every day.

What You’ll Bring

We care about how you operate as much as your background. You might come from executive support, operations, chief-of-staff work, or another path. You are:

  • Experienced. You bring at least two years of experience supporting C-suite executives or senior leaders in an executive assistant, chief-of-staff, operations, or similar capacity. Experience partnering closely with a CEO is highly valued.
  • Trustworthy. You have experience handling sensitive and confidential information with absolute discretion. This is essential for working with the ELT and Board.
  • Polished and professional. You have the presence and judgment to represent the CEO and the company with Board members, executives, and external partners.
  • A strong organizer and project manager. You have experience coordinating executive leadership meetings, including agendas, notes, and follow-up on action items, and working closely with executive leadership teams.
  • A capable leader. You can guide and develop administrative or support staff across time zones and cultures.
  • Technologically proficient. You are comfortable using Microsoft 365, particularly Outlook, Teams, Excel, PowerPoint, and SharePoint, and can quickly learn new systems.
  • Eligible to work in the United States. You are legally authorized to work in the US and will not require visa sponsorship now or in the future.

Location & Eligibility Requirements

  • On-site availability: Able to work on-site in our Waltham, MA office two days per week.
  • Commute or relocation: Currently living within approximately 45 minutes of Waltham, MA, or willing to relocate.
  • Work authorization: Legally authorized to work in the United States without requiring current or future visa sponsorship.
  • Travel readiness: Able and willing to travel periodically to Burlington, Montreal, and other offices or events, including international travel across the US–Canada border. Must hold a valid passport or be able to obtain the necessary travel documentation.
