The Role

We're looking for an Executive Automation Officer to run and automate the administrative side of our leadership team: calendar and inbox, travel, visitors and the office amongst others.

Your first job is to AI-away as much of the CEO's and the leadership team's administrative load as you can. You'll start by doing the work yourself: keeping the CEO's day sane, triaging her inbox, booking travel for the leadership team, hosting visitors and making sure the office works. But every one of those tasks is something to automate, not something to keep doing by hand indefinitely. Wherever a task repeats, you build the agent, workflow or script that removes it. We'll measure success by how much of the leadership team's admin load quietly disappears over your first year. Once it has, we want you turning the same instincts on the rest of the company.

You'll spend most of your time supporting the CEO and about a third supporting the rest of the leadership team. You'll be the first person in this function, so you'll set it up the way you think it should run, working closely with our Chief of Staff.

Key Responsibilities

Automate first

• Treat every recurring admin task as a target: design and build the automation that removes it, rather than defaulting to doing it by hand on repeat

• Use whatever fits the job: LLM assistants (Claude) and their agents, low-code automation (Power Automate, n8n, Zapier, Make), or simple scripts. As a deep-tech company, we expect you to think outside the box here

• Know when a tool is good enough to trust unattended and when a human still has to look

• Once your own role runs on autopilot, turn outward: show colleagues what you built, help other teams automate their own admin, and become the person people come to when they want something manual to go away

Run the CEO's day, until it runs itself

• Resolve calendar conflicts, help team members gain access when they need it, protect deep-work time, and prepare her for what is coming

• Triage the inbox daily: answer what you can, draft what she should send, flag what needs a decision, and let the rest go

• Prepare briefing notes and face lookbooks before important meetings

• Track commitments made in meetings and make sure they close

Handle logistics for the leadership team

• Book flights, hotels, ground transport and visas for trips, including last-minute changes

• Be on call during important international travel by the leadership team in case of emergencies

• Process expenses and reimbursements

• Coordinate visiting customers, investors and partners, and help organize team events and offsites

Keep the office running

• Keep the office stocked, the meeting rooms working, and the visitor experience good

• Help new hires land: desks, accounts, first-week logistics

• Facilitate the administrative things that otherwise land on engineers, and automate the ones you can

Is this you?

We care more about how you think than about your CV. But it would be great if you recognize yourself in:

• You already love using AI tools to do real administrative work, and you can show us something you built that saved you or someone else meaningful time. Prompting well is the baseline; connecting tools, handling the failure cases, and knowing where the limits are is the skill

• You are organized in a way that survives interruptions. Several people will bring you urgent things at once; you can hold the list, prioritize it, and communicate what you did

• You have excellent written and spoken English, you are discreet with the sensitive documents you'll see, and you are pleasant to work with. This is a small team, and the person in this role plays a real part in setting the tone. Dutch is a plus, but not required

• You are comfortable in a technical environment. You do not need to understand physics, but you should be at ease among people who do, and curious enough to pick up the vocabulary

• Microsoft 365 administration hero

• Experience with low-code or workflow tools (Power Automate, Zapier, n8n, Make)

• Experience with international travel and visa logistics

• Basic scripting (Python or similar)

• A background in a hardware or deep-tech company

• Experience with Dutch office administration

• You have supported a senior executive or leadership team before, in any sector, and you know what it takes to keep one running without being asked
